At CoBank, the Leave of Absence Coordinator is responsible to lead our leave strategy and integrate with overall HR strategies. Understand external best practices and align with what makes sense in the CoBank culture.  Serves as the subject matter expert for all Leave of Absence programs, ADAAA practices as well as workers' compensation and serves as the point of contact for leadership and legal on escalated matters and policy interpretation. Leads with an innate sense of curiosity and strives to achieve employer of choice recognition.

Essential Duties and Responsibilities:

  • Oversees administration of federal, state, local and company Leave of Absence policies and short-term and long-term disability programs including eligibility, intake, case management, return-to-work, issue resolution, escalations and vendor management.
  • Conduct research and apply subject matter expertise and judgement to resolve escalated cases within specified service level agreements while adhering to company policy and compliant with federal, state, and local leave laws.
  • Liaise with third party vendor regarding associate eligibility and medical certification approval. Research and resolve data and processing errors with third-party vendor as required to resolve issues.
  • Interprets and clarifies Leave of Absence policies to address inquiries from associates, managers, and HR business partners.
  • Oversees the return-to-work process for associates returning from extended FMLA, workers compensation, or other leave(s).
  • Identify points of confusion or lack of knowledge with Leave of Absence or accommodations; recommend enhancements within our self-service applications, associate/leader knowledge articles or processes and procedures to improve associate and leader experience and overall satisfaction.
  • Provides direction to other departments including IT, security, payroll and HR to resolve matters impacted by an associate’s Leave of Absence.
  • Collaborates proactively with internal business partners to provide subject matter expertise and counsel. Works to identify solutions and to ensure that information regarding qualifying leaves are communicated in a professional and timely manner to our associates.
  • Manages and provides direction on denied leaves of Absence.
  • Participates in audit processes to ensure data accuracy and plan administration compliance. Identifies information and system audit opportunities. Identifies trends, sees issues through to resolution and escalates potential issues.
  • Prepares and conducts training as needed for people leaders on Leave of Absence policies and programs.
  • Identifies and immediately escalates potential opportunities for risk/exposure to the organization during the completion of assigned duties.
  • Review and evaluate requests for accommodations using the interactive process to ensure best practices are implemented in compliance with ADA.
  • Research and resolve pay discrepancies for associates on Leave of Absence or upon return to work; collaborate with payroll for any pay corrections requiring off-cycle/on-demand checks.
  • Responsible for purchase order and billing procedures and reconciliation as it relates to leaves and workers compensation. 

Education

  • Bachelor's Degree

Work Experience

  • 3 years experience administering Leave of Absence programs
  • 3 years experience in benefit administration (medical, dental, vision, life insurance)
  • 3 years experience utilizing an HRIS system (Dayforce, SAP, UKG, etc.)
  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
  • Strong skills in Excel (ability to use moderately complex formulas: embedded if statements, vlookups)
  • Multi-state employer experience
  • Ability to easily and effectively communicate complex information in a meaningful manner and work collaboratively with peers
  • Ability to handle complex LOA and ADAAA situations professionally and confidentially
  • Highly organized with strong attention to detail with strong follow-through skills
  • Ability to work independently, effectively prioritize work and consistently meet daily expectations
  • Certified Leave Management Specialist (CLMS) and/or Certified Professional in Disability Management (CPDM) 

Compensation Information

  • Estimated Base Salary Range: $80,000-109,000
  • Short Term Incentive Bonus: 10%
