Position Summary:
The Leave of Absence Coordinator will manage the end-to-end Leave of Absence process, maintaining compliance, and serving as a valuable link between employees, managers, HR team members, and leave vendors. As a key member of the HR Total Rewards team, your facilitation of leave journeys will contribute to support the AFNA’s Purpose and Values in caring for one another.
Position Essential Duties and Responsibilities: - Partners across teams including HR, Legal, Plant HR teams and our vendors to effectively administer leaves for our employees, within compliance federal, state and local laws, as applicable
- Properly engage with managers and Human Resources in the interactive process and document the process related to reasonable accommodations
- Acts as SME for leaves, including being knowledgeable about state leave laws and upcoming law changes
- Oversee integration of leaves (i.e. Workman’s compensation with FMLA/ADA)
- Assist employees with leave-related inquiries and provide guidance on the leave application process (excellent customer service by delivering timely responses)
- Responsible for procedures related to leaves and leave time entry
- Periodically reviews and revises leave processes to ensure efficient, compliant, and effective processing of leave requests
- Responsible for tracking leave requests and approved leaves, conducting and reviewing audits, and taking appropriate action when necessary
- Coordinate the return to work process for employees ensuring return dates are accurate and time entry is completed in HRIS
- Analyze and track data output related to denied leaves or employees that do not return to work at end of their approved leave.
- Communicates pay information to payroll if PTO/subsidized time is required
- Prepare letters of healthcare premiums due while on Leave of Absence
- Reconcile premium collections and cancel healthcare benefits if applicable
- Respond to requests from state agencies related to state paid disability and leave programs
- High School or GED
- Minimum 3-5 years of experience managing company leave programs
- Must be able to work with high volumes of confidential information in a professional manner.
- Must be detailed oriented with excellent organizational skills.
- Ability to multitask and collaborate with various functions
- Demonstrate ability to be work independently, problem solve, and use good judgement
- Strong customer service and responsiveness skills required
- Strong verbal and written communication
- Proficient in Microsoft Office
- Experience with any Leave of Absence outsourcing vendor
- Bi-lingual Spanish/English Preferred
- This is a hybrid role, with a need to be in the office 2 days/week.This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers
