Job overview


In order to expand our team, we are looking for someone who will assist the Speedway Properties Leasing team to ensure all files and transactions are compliant with Speedway’s Leasing Process and will complete follow-up communication with Prospective Tenants. This position will also evolve into assistance with Marketing Material updates and accuracy. While the list below is not exhaustive of all you would do, we’ve captured the main pieces. Here are the specifics:


  • Successfully organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency for the rental portfolio, including implementing office standards, policies, and procedures and maintaining filing systems.
  • Ensure weekly communication between all departments associated with the Leasing Process: Commercial Property Management, Maintenance, and Accounting. Coordinate Project updates for new Prospective Tenants with the appropriate departments and/or Project Manager to provide updates to Leasing Team.
  • Maintain Property Listing databases with flyers, photographs, and text.
  • Assist in marketing by updating promotional materials with all pertinent information.
  • Consistently provide excellent customer service, maintain a professional work environment, and exercise care and good judgment when handling sensitive and confidential information.

  • Constantly work to improve processes; make suggestions for productivity improvements, and optimize team member workflow, while continuing to meet our customers’ needs.
  • Maintain regular and reliable attendance.
  • Perform other duties as assigned.

Work Environment


  • Ability to rarely lift and carry <25 lbs. and rarely push/pull up to 50 lbs.
  • Constant sitting or standing dependent upon desk preference and rare walking.
  • Rare bending/reaching, twisting.
  • Frequent fine manipulation with fingers to operate computer.  
  • Heated and air-conditioned indoor work.

  

What you’ll need to succeed in this position:


  • High School Degree or GED and a minimum of one year of experience in an executive assistant/office management role with preference for at least three years of experience.
  • Must be able to use a computer and proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Must be able to communicate effectively and professionally both verbally and written with all levels of the organization, vendors, and other internal and external individuals.
  • Must maintain confidentiality.
  • Able to multi-task in a fast-paced environment.
  • Able to work with minimum supervision.
  • Able to effectively communicate with Leasing Team and create successfully completed files throughout the initial leasing process.
