We are looking for an experienced, driven and passionate Lease Administrator/Property accountant to join our team. The scope of the position is as follows:
The Lease Administrator/Property Accountant acts as a resource for the Operations team by handling the day-to-day Accounts Payable and Accounts Receivable functions while also developing a strong understanding of tenant leases in order to create and a maintain lease administration database for use post tenant occupancy. This role is critical for ensuring proper lease compliance and operations of our real estate assets. Prior experience working for a Real Estate Development Firm, with Retail tenants, is a must.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Review and analyze lease agreements to ensure compliance with company and industry standards
- Coordinate lease documents including lease abstracts and amendments
- Maintain a centralized lease control database
- Track lease expiration dates, rent increases and other critical lease events/requirements.
- Assist Operations Team with tracking warranty certificates & requirements for equipment Owned/Operated by Landlord
- Process lease related invoices and maintain record of tenant rent payments/security deposits
- Communicate with tenants regarding collection of unpaid invoices & overpayments
- Respond to tenant inquiries and facilitate lease-related communications
- Follow up regarding Insurance Certificates, Insurance discrepancies & Lease modifications with Attorney.
- Perform day to day accounts payable operations for Tuscan Village, Salem and other properties, as assigned
- Analyze accounting records, including financial statements and other financial reports to assess accuracy, completeness and conformance to standards defined within the department.
- Prepare weekly operations check runs, confirming with GM & VP that all items of importance are committed & paid in a timely manner.
- Ensure timely and accurate processing of property related expenses and reimbursements
- Generate financial reports, including balance sheets, income statements & cashflow statements
- Identify opportunities for process improvement and implement best practices for Lease Admin and property accounting
- Collaborate with Finance and Real Estate teams to streamline workflows and enhance efficiency
- Create & Maintain Meeting Minutes for meetings attended
- Assume leadership role in AP and AR tasks and resolving issues promptly by managing team, vendors and tenants
- Maintain property records and files (physical and electronic)
- Prepare credit applications as requested for new vendors
- Perform Accounts Payable duties such as prepare check runs for mail and upload invoices to Yardi for payment processing
- Perform certain office operations functions such as inventory and procurement of office supplies, processing mail, overnight packages, preparing for and cleaning up after meetings, and general reception of visitors/guests
- Bring passion and creativity to the process and be a leader in maintaining a high level of quality in every effort and deliverable

MINIMUM QUALIFICATIONS
- Prior experience in Real Estate Development, preferably with retail tenants
- High level of proficiency in performing all administrative functions
- Ability to provide an advanced level of general support to operations team and/or executive group
- Skilled in the use of office equipment and computer software including Yardi, Microsoft Work, Excel and Outlook
- Effectively manages and prioritizes tasks/projects with little to no supervision.
- Must have outstanding written and verbal communication skills
- Ability to work independently or as part of a team consisting of executives and managers of all levels
Job Type: Full-time
Pay: $70,000.00 - $75,000.00 per year
