Responsibilities:
As the Lead Program Manager for Mailroom, Facilities, and Warehousing Services at the Equal Employment Opportunity Commission, you will play a critical role in overseeing and managing a diverse range of operational functions. The successful candidate will lead a team of six professionals and collaborate with third-party suppliers and vendors to ensure the seamless operation of mailroom, facilities, and Warehousing Services. Key responsibilities include:
- Supervision and Team Management:
- Lead and manage a team of six individuals, ensuring optimal performance, professional development, and adherence to EEOC policies and procedures.
- Foster a positive team culture that values collaboration, efficiency, and customer service excellence.
- Facility Project Oversight:
- Utilize the Jones Lang LaSalle Work Order System to oversee and manage facility projects, ensuring timely completion and adherence to quality standards.
- Conduct regular building inspections to identify and address maintenance or safety concerns promptly.
- Third-Party Supplier Coordination:
- Escort third-party suppliers and vendors as needed, ensuring compliance with security protocols and timely completion of contracted services.
- Conduct supplemental building security assessments to enhance overall safety measures.
- Vehicle Management and Scheduling:
- Track requests and use of OCFO official vehicles, ensuring proper maintenance and adherence to EEOC guidelines.
- Coordinate the schedule of requests for EEOC Chair transportation.
- Satellite Office Support:
- Provide mailroom and facilities support services to EEOC satellite offices, including the Washington Field Office (Main), OIT Mail/Parcels, OEDA Library, OCHOCO Mail/Parcels, OCFO Mail/Parcels, OFO Mail/Parcels, and conference room set-up.
- Reporting and Documentation:
- Prepare detailed monthly status reports outlining the progress, challenges, and achievements of the mailroom, facilities, and Warehousing Services.
- Submit reports for review by the Contracting Officer's Representative (COR) and the prime company Program Manager representative.
Qualifications:
- Bachelor's degree in Business Administration, Facilities Management, or a related field.
- 5 to 7 years of progressive experience in-lieu of degree will be accepted.
- 3 to 5 years of supervisory experience
- Proven experience in program management, facilities oversight, and team leadership.
- Familiarity with the Work Order System (preferably Jones Lang LaSalle) or similar facility management tools.
- Strong organizational and communication skills.
- Ability to work collaboratively with diverse teams and stakeholders.
