Job description

Under the direct supervision of the General Manager, the primary functions of this position are to train new employees to coordinate front office activities of the hotel and resolve problems arising from guests' complaints, reservations, and room assignment activities. The person serves as a point of contact for Desk Clerk staff.

ESSENTIAL DUTIES AND RESPONSIBILITES (and other duties as assigned)

Trains new staff in the following areas:

  • Greets, registers, and assigns rooms to guests confidently, professionally, and friendly manner. Providing excellent customer service.
  • Makes and confirms reservations.
  • Prepare daily housekeeping assignments indicating rooms with scheduled linen changes or incoming/departing clients.
  • Answers inquiries about to hotel services; registration of guests; and shopping, dining, entertainment, and travel directions.
  • Computes bill, collect payment and makes change for guests.
  • May be called upon to do entry level accounting tasks, such as bank deposits and/or daily audit reports.
  • Transmits and receives telephone messages.
  • Keep lobby areas clean and neat.
  • Stock gift shop and ring up sales.
  • Bucket checks to be performed by each shift to verify data as it pertains to (1.) Guest name, (2.) Guest address, (3.) Room rate, (4.) Date of departure, (5.) Number of Guests in room and (6.) Credit card info
  • Communicate harmoniously and professionally with coworkers – sharing all information and updates.
  • Confers and cooperates with other department heads to ensure coordination of activities.
  • Provides administrative support to management staff.
  • Prepare and distribute daily occupancy report summaries.
  • Follows SOP created for Front Desk; revises with manager as needed.

EDUCATION (and/or) EXPERIENCE

  • Strong knowledge, understanding and sensitivity to the Inupiat culture.
  • High school or equivalent certification.
  • One (1) year of hotel clerical or administrative experience.
  • An equivalent combination of training and experience.
  • Ability to operate standard office machines and basic understanding of computers.
  • Knowledge of efficient office procedures.
  • Ability to speak in a clear and understandable manner and write legibly.
  • Must be able to work independently and must be willing to work shifts that vary from day to night and operate seven days a week.
  • The ability to speak and understand the Inupiaq language is important and preferred.
