Job description

Position Description
Job Title: Laboratory Coordinator
Location: Brooklyn, NY
Reports to: Laboratory Operations Specialist
Position Summary:

IAVI is seeking a highly motivated Laboratory Coordinator, who will be responsible for administrative and operational duties for both IAVI's Design and Development Laboratory and its subtenant companies, as well as providing support to the operations and facility staff.
Key Responsibilities:
Front Desk Reception
  • Manage the Design and Development Laboratory's lobby area and other common space, including incoming telephone calls and directing all visitors and vendor services.
  • Arrange and receive incoming and outgoing deliveries, distribute mail, and assure that deliveries to the building arrive at the lab facility and that appropriate internal staff are notified.
  • Promote adherence to standard security procedures at the DDL by issuing visitor badges and ensuring unescorted access is limited to authorized personnel.
  • Maintain Operations team calendar and activities.
  • Coordinate conference room bookings.
  • Updates all reception notice boards.
  • Any other duties as assigned by the Manager.

Daily Operations Support at the DDL
  • Process, approve, and reconcile invoices for DDL Cost Center.
  • Order and maintain inventory of basic office and lab supplies.
  • Ensure operational communications are disseminated timely and appropriately.
  • Schedule laboratory trainings for annual SUNY health assessments and renews certifications for laboratory staff (i.e. Certificate of Fitness, AALAS).
  • Maintain up-to-date files of employee records, trainings, and certifications.
  • Maintain IAVI DDL Purchasing Order (PO) Records Library.
  • Assist in set up and breakdown of meetings, lunches, and events, and maintain the café' area.
  • Coordinate and track equipment maintenance services.

Education and Experience:
  • Associate degree required; bachelor's degree is preferred.
  • 2 years of administrative/front desk experience is required.

Qualifications and Skills:
  • Proficiency with Microsoft Office Suite is required.
  • Professional and hospitable demeanor is required.
  • Excellent verbal and written skills are required.
  • Ability to meet deadlines and to take initiative in the absence of their supervisor is highly desirable.
  • Demonstrated ability to work effectively under pressure and multitask is highly desirable.

Our integrated capabilities in vaccine and antibody discovery, development, and clinical research take advantage of bio-pharmaceutical industry expertise to accelerate the development and testing of prevention methods for HIV and other diseases. Through the Product Development Center, we support external researchers with technical and scientific expertise to accelerate the development of their own products.

Compensation and Benefits Information for US-Based Candidates:
The annual base salary for this position is targeted at$45,000.00 - 55,000.00with some variation based on experience level. In addition, this position offers competitive benefits such as annual bonus, generous retirement savings plan, three health insurance plans to choose from, and other benefits.
