Job Description
The Judicial Assistant provides administrative, secretarial, and clerical support to the County Court Judge.
This position will be based in the South County Judicial Center (in Venice) for an anticipated minimum of three years and will then rotate back to the Silvertooth Judicial Center (in Sarasota). Rotations to South County are estimated to occur every five years after that.
Examples of Work
Prepares and maintains the Judge’s court and professional calendar and schedules motions, hearings, conferences, and trials at the request of the judge.
Performs routine clerical tasks such as processing incoming physical and electronic mail, performing data entry, ordering office supplies, maintaining physical and electronic files or records, scanning, or photocopying.
Assists the Judge in reviewing cases for case management purposes.
Screens telephone calls and visitors to the Judge’s office; provides information, resolves issues, directs caller and visitor to proper personnel, or takes messages.
Reviews case files for accuracy, format compliance and completeness prior to submitting files to the Judge; ensures presence of all required files; maintains trial dockets, continuances, and trial orders.
Prepares and distributes orders as directed by the Judge.
Reviews and prepares correspondence, memoranda, orders, reports, e-mails, and other documents observing strict confidentiality; organizes papers for filing; prepares compensation and travel vouchers.
Performs research on defendants utilizing databases from the Clerk’s Office and the jail system; may conduct limited case law research.
Interacts with attorneys, defendants, and defendant family members to resolve problems such as scheduling conflicts or other case-related issues.
Interacts with judges, clerks of court, litigants, attorneys, law enforcement personnel, bailiffs, social services, witnesses, and the general public to exchange information or to facilitate task completion.
Education and Training Guidelines
Legal experience is preferred.
Competencies
Requires proficient skills in Microsoft Office programs including Word, Outlook, and Excel.
Strong communication and interpersonal skills.
Ability to handle many tasks concurrently and attention to detail.
Demonstrated ability to work independently with direction and to handle sensitive and confidential information.
Special Comments
- Salary is non-negotiable.
This is a State-funded position.
