JUDICIAL ASSISTANT
CIRCUIT COURT OFFICE

Our Judicial Assistants work directly with Circuit Court Judges, Commissioners, and the Clerk of Courts. The role of Judicial Assistant provides a high level of legal administrative support to ensure workflow is managed in a way so that cases progress smoothly and efficiently through the judicial system.
As a Judicial Assistant with Kenosha County, you will:

Position Summary and Job Duties
Under the direction of the clerk of Circuit Court and assigned supervisor, tasks are generally performed following standard office procedures and department policies and procedures in accordance with statutes and Supreme Court Rules. The selected candidate will be responsible for making sure all court documents are prepared accurately and timely to attorneys, litigants, law enforcement agencies, and other departments.
Judicial Assistants are sworn Deputy Clerks of Court and must provide outstanding customer service during stressful situations; be comfortable interacting with judges, attorneys, litigants, and executive level management on a daily basis; be committed to continuous learning; be able to complete tasks efficiently in accordance with statutory time limits; and have the ability to be discreet with occasional independent thinking.
Assignment of court officials may change due to operational needs and/or
management discretion.
  • Provides administrative duties to Circuit Court Judges/Commissioners including performing legal secretarial duties; developing a master calendar; preparing, docketing, and distributing appropriate paperwork
  • Monitors caseload for proper disposition
  • Ensures all court documents are prepared, docketed, scanned, and distributed to litigants in a timely and efficient manner
  • Adheres to Model Court Recordkeeping procedures
  • Serves as liaison to stakeholders, including law enforcement, litigants, attorneys, and service providers
  • Prepares correspondence, warrants, bonds, and other court documents
  • Develops and maintains court calendars, including scheduling of hearings and meetings
  • Prepares and assembles legal documents, articles, exhibits, reports, statements, evidence, and other materials
  • Prepares entries into court record and clerks in-court hearings
  • Determines appropriate fines and fees
  • Arranges for security when needed
  • Acts as receptionist for branch and provides back-up support for customer service desk and other Deputy Clerk functions
  • Administers oaths to witnesses and jurors during court proceedings
  • Explains court procedures, processes, rules, and requirements without providing legal advice
  • Coordinates and advises of courtroom coverage for judicial and commissioner absences
  • Assists with training new Circuit Court staff
  • Monitors Digital Audio Recording equipment
  • Performs scanning, integrity checking, and electronic file conversion of court documents
  • Performs other duties as required or assigned
Success Factors
  • Knowledge of the criminal justice system process, court procedures, practices, legal terms, documents, Wisconsin Statutes, and time limits
  • Skill in the use of Microsoft Office, including Word, Outlook, and Excel
  • Competencies: time management, prioritization, organization, and record keeping
  • Ability to draft and prepare legal papers
  • Ability to work independently to meet deadlines
  • Ability to maintain confidentiality requirements
  • Ability to work respectfully in a diverse and inclusive environment
Job Requirements, Education, Training and Experience
  • Associate degree in legal studies or related field, or a combination of applicable education and experience
  • Two to three years of professional work experience in a legal or court environment
  • Paralegal certificate preferred
Other Job Requirements
  • Ability to work overtime as required
  • Ability to achieve and maintain Wisconsin Notary Public commission
  • Possession of valid driver’s license and acceptable driving record
