ARES Corporation is seeking an IT Contract Management Support Project Coordinator to play a crucial role in supporting the Contracting Officer Representatives (CORs) and Deputy CORs of the Agency’s Enterprise IT Contracts for the Enterprise in support of the NASA Enterprise Multimedia and Integrated Technical Services (eMITS) contract. eMITS is an enterprise-level contract providing IT management, multimedia, and communication services for NASA’s Office of the Chief Information Officer (OCIO) and Office of Communications (OCOMM). From photographing rocket launches and recoveries, to producing NASA TV segments, to information technology management, eMITS is the primary integrator of services for NASA IT and provides NASA’s communication to the outside world. This is a remote opportunity and during PEC activity, the candidate will be required to travel to various centers to be onsite. Travel is only covered for these events.



JOB DESCRIPTION / FUNCTIONAL RESPONSIBILITIES:

  • Collaborate with Contracting Officer Representatives to ensure adherence to contract requirements.
  • Meticulously track and maintain Data Requirement Deliverables (DRDs) submitted by the Agency IT Contractor.
  • Maintain accurate records of contract-related activities and run daily reports to identify workflow progression, status, and stoppages.
  • Escalate delays, customer concerns and system issues as required.
  • Support the Blanket Purchase Agreement (BPA) processes in the initiation, management and closeouts of Request For Quotes (RFQ) processes.
  • Collaborate with vendors to obtain proper IT quotes with requirements gathered from customers.
  • Review end user IT requirements to recommend changes that could provide cost savings for the Agency.
  • Review award documentation, invoices, and IT requirements for accuracy and tracking purposes.
  • Ensure compliance with procurement regulations and policies for the Blanket Purchase Agreements.
  • Handle routine correspondence and inquiries related to contracts.
  • Assist in the development and maintenance of reports and presentations in relation to contracting activity.
  • Occasionally travel to support the Performance Evaluation Committee activity at other centers.
  • Review and reconcile travel receipts and costs provided by the Agency IT Contractor.
  • Support Agency IT Contract’s phase-in and phase-out activities.
  • Provide Microsoft Teams channel management functions, including but not limited to communication materials, questions and concerns, escalation, memberships, and access.
  • Handle routine correspondence and inquiries related to contracts as required.
  • Be flexible and ready to assist in additional tasks and responsibilities as the needs of the organization evolve.

Minimum Requirements:

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Advanced knowledge of Microsoft Excel.
  • Ability to work independently and collaboratively in a remote work environment.
  • Proficiency in relevant software applications (Microsoft Office, Microsoft Teams, etc.)
  • Excellent customer service skills.

Preferred Qualifications:

  • Knowledge of SAP preferred.
  • Process improvement experience preferred.
  • Knowledge of federal procurement regulations and guidelines preferred.
  • IT knowledge preferred

EDUCATION AND PREVIOUS WORK REQUIREMENTS:

  • BS or BA degree in Business Administration or a related field.
  • 3-5 years of relevant experience required.
