The IP Docket Manager will be responsible for managing the Docketing workflows and assigned business professionals to ensure reliable and efficient service that meets the needs of the firm and firm clients. Provide accurate information on a daily basis to IP attorneys and staff regarding client information and deadlines, leading the overall effective operations of the Docket Department. The IP Docket Manager must maintain the integrity of the docket database according to established policies and procedures, perform all job functions relating to review of the IP Management System.
Essential Duties and Responsibilities:

  • Ensure Docketing policies and procedures remain current and aligned with best practices and statutory laws.
  • Make recommendations on workflow adjustments and the implementation of new country law to practice leadership on behalf of the Docketing team.
  • Troubleshoot Docketing errors as they arise; communicate effectively on how these errors will be addressed in the short-term as well as how processes will be managed in the future to avoid repeat issues.
  • Create and manage the IP Docketing training manuals for both the patent and trademark docketing teams, as well as for practitioners and business professionals.
  • Perform regular audits of the firm's IP Management System and assign projects to team members, in part or in whole, related to these audits.
  • Serve as the primary contact for transfer-in and -out portfolios; lead the process with the Docketing Specialists on accurate and timely uploads to the firm's IP Management System.
  • In collaboration with the IP Operations Manager, work with the vendor to help shape IP Management System's roadmap by identifying areas in which the technology can improve for a more efficient and risk mitigating product.
  • Provide ongoing capability development and support for the Docket Specialists and Technicians, including identifying the skills and capabilities needed to progress and relevant training and development to support continued progression.
  • Develop and implement practice quality control metrics for IP Docketing; ensures regular monitoring for continuous improvement.
  • Support staff performance management by providing regular and ongoing feedback on performance successes and challenges, as well as growth areas for the future.

  • Ability to multi-task, work independently with minimal supervision, and act with a sense of urgency to deliver high quality results.
  • Excellent proofreading skills.
  • Ability to identify and analyze complex issues and problems in relation to managing data.
  • Ability to work independently as well as work well as a team member.
  • Ability to work closely with all departments in understanding their processes to assist with the day-to-day operations of the IP Practice Section.
  • Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of attorneys and staff.
  • Sound judgment and ability to respect, protect and maintain highly confidential and sensitive information
  • Deep knowledge of docket software applications, including configuration and system-level updates to be able to support continued evolution of technology for the team.
  • Proficient in Microsoft Office Suite.

Education and/or Experience:
  • High school degree or equivalent required. College degree or equivalent specialized training (ex, paralegal studies) beneficial.
  • Minimum of eight (8) years of progressive Intellectual Property experience, with a particular focus on quality control activities that are critical to a high-functioning Docketing department
  • Demonstrated experience with docket software applications.
  • Demonstrated experience with and strong understanding of domestic/foreign patent, trademark and inter-partes matters.

Compensation is dependent on several factors, such as position, location, education, training, and/or experience.
Hiring Salary Range:
$90,000.00 - $110,000.00
