JOB SUMMARY
The Inventory Controller is responsible for providing resource support for inventory activities, ensuring adequate levels of product, evaluating inventory needs and implementing strategies to meet those needs. This position supports a team of employees and reports to the Logistics Manager within Materials Management (MM). In addition, the Controller contributes to the development of processes and departmental work procedures.
1. Coordinates day-to-day operations of the MM Inventory Staff
- Serves as a liaison between the OR department and Materials Management to rectify any inventory-related issues promptly.
- Supports the Inventory team to ensure efficient schedules, workflow processes and best practices are being achieved.
- Ensures key performance indicators are achieved for Inventory team.
- Fosters and manages vendor relationships to ensure efficient operation of inventory system.
2. Demonstrates competence in the performance of duties related to inventory maintenance. Oversees inventory levels including but not limited to setting pars, reordering products, assigning locations, creating bar codes, labeling, maintaining inventory sheets and master inventory lists, maintaining specialty carts, forecasting, tissue and implant tracking, performing inventory cycle counts, researches and takes appropriate steps to resolve, and coordinates and adjusts product information, as needed.
- Coordinates with the Value Analysis Coordinator for product conversions by tracking of outgoing inventory and incoming new products to reduce waste and ensure sufficient replacement.
- Researches and obtains supply substitutions, coordinating with vendors, when needed.
- Monitors expiration-sensitive products ensuring stock rotation, disposal and replacement. Facilitates inventory disposal or donation to include Product Recall Process under the direction of the Manager.
- Communicates with buyers and purchasers to determine delivery dates, review backorders, expedite shipping, and borrow from other area hospitals, if necessary.
3. Demonstrates competence for the performance of duties related to process improvement and service quality expectations. Utilizes technology to examine productivity and takes action to maximize operational output. Collaborates with OR personnel to form continuous improvement initiatives to correct existing distribution issues and enhance the movement of supplies and equipment throughout the OR. Coordinates with Service Coordinators and Surgical Services leadership on abnormal (high-low) inventory and all inventory shortages. Acts as a resource to Service Coordinators to standardize product and reduce inventory.
- Collaborates with clinical leaders throughout the organization to build efficiencies and develop continuous improvement initiatives to maintain adequate supplies.
- Monitors MMIS (Materials Management Information System) and/or EMR (Electronic Medical Records) reports and provides recommendations to improve inventory management.
- Maintains and enhances self with continuing education relevant with health care changes, attends pertinent webinars and seminars to improve functional responsibilities.
5. Performs additional Materials Management functions as needed.
Qualifications
Experience Minimum Required
- 3-5 years supply chain or healthcare exp.
- Experience Preferred/Desired
- 5-20 years of experience in healthcare supply chain
- 1-3 years of resource experience in supply chain
- Experience with inventory/warehouse management systems
Education Minimum Required- GED or High School
- Education Preferred/Desired
- Associate’s degree
Special Skills Minimum Required- Outstanding communication skills – both written and verbal
- Excellent analytical and problem-solving skills
- Proven ability to prioritize tasks
- High level of computer expertise in Microsoft products
