Job description

Duties

Receive, count, stock, and distribute merchandise housed in onsite and offsite warehouse locations; create, assign, and track skids of merchandise in offsite warehouse facilities and distribute merchandise to Gift Shop upon request of sales associates. Track inventory from purchase order to receipt of merchandise; physically receive merchandise and reconcile vendor shipping document with purchase order and merchandise received; resolve incorrect or damaged deliveries with vendor and notify administrative staff of situation; enter merchandise into Retail Management System (RMS); generate price labels for merchandise. Determine warehouse storage location based on space, value, fragility, and quantity; rotate inventory through offsite warehouse and maintain adequate inventory at onsite warehouse; prepare merchandise for shipment to include packaging, labeling, and shipping; perform bi-annual inventory reconciliation to include count of available merchandise, open invoices, and loaned merchandise; advise sales associates of overstock items, inventory availability, and warehouse locations; and notify front office of reordering requirements. Procure borrowed Senate vehicle; drive to warehouse; gather merchandise; and arrange for transport by Sergeant at Arms (SAA) staff. Arrange for SAA staff to pull merchandise and deliver to onsite warehouse. Serve as Sales Associate, as needed; assist Gift Shop customers in selecting merchandise; and process cash and credit card transactions. Receive training on engraving as needed, with subsequent ability to provide backup for Gift Shop engraving orders. Maintain organized stockrooms and warehouse to ensure ease of locating merchandise. Maintain current knowledge of the Gift Shop’s Emergency Action Plan (EAP) and Continuity of Operations (COOP) plan; participate in periodic exercises and drills. As part of the Secretary’s customer service initiative (known as R.A.T.E.), provide all customers with the highest level of customer service.

Qualifications

PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in a warehouse and gift shop environment with exposure to everyday risks and discomforts, and requires the use of normal safety precautions. Work requires frequent walking, standing, bending, heavy lifting, carrying items 50-100 pounds, and physical dexterity to climb ladders with boxes of merchandise, as well as regular use of typical office equipment, software programs, and methods of communication such as a computer, email, telephone, and photocopier. Regular, predictable, and punctual attendance is required for performance of duties. Work also requires physical presence in the office, except as otherwise required by the Office of the Secretary of the Senate. Work exposes employee to dust, paper cuts, and splinters.
MINIMUM QUALIFICATIONS
Work requires a high school diploma or GED, with three to five years of warehouse/retail experience and the following knowledge, skills, and abilities:
Basic knowledge of the Senate as an institution preferred, with a desire and willingness to learn more about the legislative process, as well as the history and operation of the Senate.
Knowledge of inventory, inventory descriptions, and physical warehouse locations.
Knowledge of applicable inventory and accounting systems and methods.
Knowledge of applicable packaging requirements and shipping guidelines.
Ability to use computer and relevant computer software programs.
Ability to accurately process cash and credit card transactions and provide correct change.
Ability to operate cash register, inventory tracking equipment, and other retail store equipment.
Ability to learn basic engraving, using engraving equipment and applicable computer software.
Ability to follow departmental rules, regulations, procedures, and functions.
Ability to deal with others using tact and diplomacy.
Ability to provide prompt and courteous customer service and resolve customer issues.
Ability to communicate effectively, both orally and in writing.
Ability to operate hand truck, pallet jack, motorized pallet jack, and rider pallet jack, with certification, as required.

Valid driver’s license with safe driving record.
