REPORTS TO: Director of International Student Services
LOCATION: International House
WORK HOURS: Monday - Friday 8:30am-5:00pm with occasional weekday evenings and weekends.
PRIMARY OBJECTIVE:
This position is responsible forproviding immigration advising support and program assistance to the Director of International Student Services (ISS) and manages the overall usage of the International House.
International Student Services Duties:
Immigration and Cultural Support
  • Knowledge of F-1 and J-1 visa regulations and SEVIS (Student and Exchange Visitor Information System). Serve as a Designated School Official (DSO) and Alternate Responsible Officer (ARO).
  • Understand and advise students on CPT and OPT and write employment letters for students.
  • Provide general F-1 and J-1 visa-related immigration advice.
  • Keep institutional and immigration databases up-to-date for internal institutional communication and external immigration compliance.
  • Update and maintain student email list and International Student master list.
  • Use institutional report software to extract data and prepare reports.
  • Coordinate Friendship Family program including matching International Students with local families, updating match database, and coordinating all communications related to the program.
  • Assist in programming, including orientation, employment workshops, and International Student engagement events.
  • Assist the Waseda program (Japanese student exchange program) including orientation, student activities, matching student mentors, advocacy, travel arrangements, maintaining program documents, and other administrative tasks.
  • Provide back-up immigration advising assistance during vacation, illness, and periods of heavy workloads.
  • Maintain web pages and social media as needed.
  • Establish and maintain good working relationships with students, faculty, and staff.
  • Model cultural competence in executing the aforementioned duties.
Clerical duties
  • Establish and maintain paper and electronic files and records to include immigration documents, letters of recommendation, etc.
  • Type, proof, or review general correspondence and documents including letters, memos, recommendations, monthly newsletter, proposals, presentation, minutes, and agendas. Support mailing list and communications from the International Student Services Office.
  • Coordinate administrative and logistical details of meetings, programs, and events related to the office.
  • In conjunction with the Director, oversee the student employment process and supervise student employees for ISS. Enter student payroll information online, approve student time sheets.
  • Record operating budget expenditures and maintain departmental budget. Reconcile and process credit card statements and expenditures. Review monthly budget and send adjustments to Accounting Department.
  • Schedule appointments and maintain an electronic calendar for the Director for ISS as needed. Coordinate travel arrangements if needed.
  • Answer and direct calls, take and deliver messages, sort and deliver mail related to International Student Services.
  • Perform other duties as assigned by the Director of ISS.
International House Support
  • Maintain and communicate usage policies for the International House.
  • Manage room reservation process and master calendar for International House.
  • Coordinate student employees' work related to house upkeep, storage, and hospitality.
  • Coordinate maintenance repairs/repairs of office equipment with service people through university work order system.
  • Oversee storage and inventory in International House basement, attic, and other areas.

Working Relationships
Will work with diverse students from around the world, friendship family community participants, collaborative relationships with Student Life staff and offices in International House (Waseda CS-L, Off Campus Programs).
Knowledge and Skills Required
1. Requires 2 years of relevant experience.
2. Bachelor's degree in related area.
2. Position requires demonstrated confidentiality, poise, tact, and diplomacy. Must be able to interact and communicate effectively verbally and in writing with individuals at various levels from multiple cultural backgrounds. Demonstrated ability to engage in perspective taking and understanding cultural diversity and a commitment to fostering social justice.
3. Strong working knowledge of Microsoft Office software, basic ability to manage website, basic skills in poster creation and publication development.
4. Strong clerical skills with demonstrated attention to detail and accuracy.
5. Strong organizational skills including ability to (a) prioritize and (b) effectively manage multiple projects.
6. Strong interpersonal and communication skills in an intercultural environment.
7. Flexibility to perform duties wherever work volume and priorities necessitate. Willing to work occasional weekend or evening hours when necessary due to office programming (approximately one weekend a month).
8. Ability to work independently and utilize less busy times to prepare for future needs of the department.
9. Intercultural competency and attention to detail are of the utmost importance for this position.
Employment Requirements
1. Complete background check, driving record check (where applicable), and reference checks.
2. U.S. citizen or Lawful Permanent Resident to comply with Department of Homeland Security regulations to serve as Designated School Official (DSO) and an Alternate Responsible Officer (ARO).
3. Must be able to comfortable navigate steps, to lift and carry up to 25 pounds, to type, and to hear and speak clearly.
4. Must have a valid driver's license or be able to obtain one and must be able to pass the requirements to be a Lawrence University Driver and complete campus drivers training.
