Summary/Objective
The overall responsibility of the Intake Technician is data entry of new case files.
Duties and Responsibilities
- Responsible for data entry of new case files.
- Assign new cases on a rotation basis.
- Be familiar with current court directives and Department policies and procedures, i.e., take picture, obtain DNA if applicable, verify phone number, refer probationers to the Smith County Judicial Compliance Department, retrieve personal data form, give financial statement form to probationers, give class schedule and any time sensitive information such as Ignition Interlock information, submit request for POST sentence investigation if applicable, submit request for CSR Badge if needed, refer probationers to the Smith County Jail when SID or TRN number is needed, schedule probationers for Orientation and initial interview with assigned CSO, etc.
- Print necessary forms and ensure that files are prepared in a timely manner for Orientation.
- For transfer out cases prepare and make copies for the transfer out packets.
- Complete intake process for all new transfer-in cases.
- Ensure that copies of the Smith County Probation Handbook and the HIV pamphlet are printed and that there are enough folders made each month for Orientation.
- Conduct orientation as scheduled each week.
- During Orientation retrieve verification of residence and employment/income from probationers.
- Explain general conditions of probation and Department policies and procedures.
- Distribute the Smith County Probation Handbook to probationers and ensure that, if applicable, probationers complete the Substance Abuse Questionnaire. Assist probationers with referrals for employment, education, classes, and CSR.
- Ensure that all money owed by the probationer, as set forth in the conditions of community supervision, is entered correctly in the current computer software program.
- Complete all required documentation as directed by the Department policy and CJAD Standards on a timely basis.
- Distribute files to Officers once orientation has been completed.
- Run Criminal Histories and scan in the current computer software program.
- Fill in with any position in Administrative Support when needed.
- Conduct UA's on probationers when needed to do so.
- Complete any other duties as assigned by the Supervisor or Department Director.
Required Skills and Abilities
- Must be a United States citizen or have legal immigrant status.
- Must speak, read and write English fluently.
- The Intake Technician must successfully complete and pass urinalysis exam, personnel inventory assessment and criminal history background check.
- Must communicate effectively with all types of people
- Must have strong organizational and prioritization skills
Education and Experience
Must have High School diploma or G.E.D.
