The Insurance & Property Administrator handles incoming guests. They assist the operations and Property management teams with a variety of administrative tasks to help oversee the property management. They also manage and maintain insurance certificates for all tenants and vendors and ensure all requirements are met.

ESSENTIAL FUNCTIONS/TASKS:

  • Manage and maintain current insurance for new and existing tenants and vendors. Review and track insurance certificates. Check for accuracy and verify certificates meet Landlord requirements. Work with Risk Management department on insurance issues. Request updated insurance as needed.
  • Greet incoming guests, vendors, tenants, etc. and help direct lobby traffic as needed.
  • Assist Property Management team with coordinating tenant and vendor access as needed.
  • Responsible for maintaining and safe keeping of key and lock distribution to the building and garage
  • Attend training, seminars, and staff meetings.
  • Review security reports and relevant camera footage daily and notify Managers of any concerns that may need to be addressed.
  • Monitor security cameras to ensure garage egress is clear of trucks.
  • Promptly address any security concerns noticed on cameras or reported by tenants and work with the building’s contracted security vendor/police to resolve them.
  • Create new parking passes and building access fob for tenants and vendors and update the software accordingly. Notify Property Managers when tenant requests new parking passes for accounting purposes.
  • Respond to tenant and building emergencies.
  • Field tenant complaints and refer to Property Manager or Maintenance Manager for resolution.
  • Prepare Work Orders, as needed, and follow up with tenants and maintenance staff, confirm work order was closed.
  • Perform a daily property inspection, including trash inspections.
  • Type correspondence/ memos, etc., copy, distribute and file. Correspondence must be prepared accurately, timely and meet specified deadlines.
  • Carry out receptionist duties in a professional and courteous and timely manner.
  • Prioritize daily tasks and complete tasks within required timeframes.
  • Other duties and projects as assigned.

EDUCATION, EXPERIENCE, TRAINING/SKILLS REQUIRED:

  • High School graduate, college degree preferred.
  • Experience in working with commercial properties with understanding of basic property management preferred.
  • Knowledge of commercial insurance certificates preferred.
  • Ability to read and interpret lease documents.
  • Types 65+ words per minute, proficient on IBM PC, Microsoft Word and Excel. Yardi preferred. Needs excellent organizational skills. Must possess a positive attitude and enjoy working in a fast-paced environment.
  • Excellent communication skills.
