Job Description
The Inquiry and Application Management Specialist position is responsible for managing daily phone calls and emails for a rapidly increasing portfolio of new programs, including but not limited to, increasing undergraduate programs converting to the online platform. The position will also assist with the current growing portfolio of graduate programs within the university. The position will assist with Application Management by following admissions workflows to optimize the overall student enrollment goals of Online Student Success and the College of Professional Studies. The position will plan, develop, and implement strategies for generating and following up on inquiries for online degree programs. The position will analyze inquiries for developing additional outreach efforts to move them through the enrollment pipeline. The position will be responsible for proactive and regular outreach to inquiries through phone, email, and video content.
Qualifications
  • Bachelors degree required.
  • Two (2) plus years of experience in recruiting, admissions, or related customer service field required.
  • Strong written and oral communication skills required.

  • Demonstrated organizational skills, ability to prioritize and handle multiple tasks simultaneously.

Responsibilities
  • Manage and respond to all inquiries within Online Student Success, tracking all inquiries regularly and documenting touchpoints appropriately within Slate, OnBase and other systems. Assume the primary responsibility of the recruitment email inbox.
  • Follow up and engage with prospective students through direct correspondence; including, but not limited to email, telephone, and videoconference.
  • Manage outreach to online student population, offering insight on all programs and resources available.
  • Assist the Admissions Application Specialist with development and dissemination of campaign material and distribution of admissions packets.
  • Maintain impeccable notes and appropriate processing workflows of all inquiry contacts while maintaining comprehensive knowledge of all online degree programs and associated student services.
  • Coordinate workflows and efforts between the Admissions Application Specialist and the Admissions Advisors, communicating trends around inquiry interest.
  • Facilitate and schedule Admission Consultations between prospective students and Admissions Advisors as follow up to inquiry outreach.
  • Assist with the collection of application materials from prospective students, including but not limited to official transcripts, personal statements, resumes and letters of recommendation.
  • Manage and track inquiry management and applicant data and reporting, as directed by supervisor and OSS leadership.
  • Develop and maintain documentation of workflows and processes. Recommend adjustments and efficiencies where appropriate.
