TITLE:
Information Specialist

REPORTS TO:
Area Manager

Job Summary: Career TEAM's Information Specialist will be assisting Area Managers by tracking ad supporting the daily activities and outcomes of Center staff as related to quality, quantity, and performance goals. The position will report to the Area Manager. responsible for providing support for the operation of Workforce Solutions East Texas office locations. Duties will include backing up Resource Room and registration staff as well as performing other duties critical to the operation of the locations and program operated by Workforce Solutions East Texas.

  • Project Wide Support.
    • Maintain inventories related to various supportive services elements.
    • Track and provide billing for services provided.
    • Update and maintain reports related to services provided.
    • Perform system reviews to assure timely and pertinent data entry.
  • Local Area Support.
    • Supportive Service Log maintenance.
    • Equipment inventory tracking.
    • Back-up customer service positions as needed.
    • Review system entries to assure complete and timely data completion by front line staff.

Actual Duties:

  • Weekly/Monthly Bus Pass Log Report (local office)
  • Weekly/Monthly Gas Card Log Report (local office)
  • Office Supply ordering
  • Check out/monitor training laptop inventory.
  • Complete Monthly Walk-In/Call In Report for all 3 areas
  • Assist front desk / resource room as needed.
  • Process AARP timesheets / scheduling (local office)
  • Review work readiness billing invoices / update on management report for project / ensure services are opened and closed, case notes are completed.
  • Enter WEX payroll for project onto County-by-County report.
  • Receive OSHA cards / incentive cards and follow distribution process.
  • Manage gas card inventory and act as back up loader as needed.
  • Check eligibility report weekly to ensure next steps / services are being provided for WIOA participants and update eligibility tracker accordingly.
  • Enter OJT invoices for project onto County-by-County report.
  • Check Twist to ensure OJT and WEX services are opened and closed as appropriate.
  • Check case management system for Soft Close updates made by staff and send out report to management.
  • Review Wagner-Peyser reports to ensure 100% of customers are registered in WIT
  • Attend all program meetings and trainings.

To Qualify for This Role, You Must Have:

  • Any combination of education and experience equivalent to graduation from an accredited college and university with a bachelor's degree in business, public administration behavioral science or related field.
  • Ability to work in a variety of settings with culturally diverse customer base with the ability to be culturally sensitive.
  • Ability to serve as a role model to customers (internal and external) and motivate them towards achieving goals.
  • Personal computer literacy required, including effective use of the Internet, e-mail, and Microsoft Office (Word, Excel and Outlook)
  • Ability to meet and/or exceed goals and objectives.
  • Excellent interpersonal, time management, customer service, organizational and communication skills, both oral and written required.

Pay Range: $17

Working conditions are primarily in an office environment with travel to other locations within the East Texas service area possible.
