Summary The Import/Export Clerk is responsible for handling activities and processes that regulate the supply chain, related to

international shipping by ensuring that all outbound shipments are correctly processed. The Import/Export Clerk oversees shipments through from start to finish and monitors their progress throughout the journey. Duties include, entering orders received through email or the EDI System, reviewing shipping cost, as well as managing shipping schedules by coordinating and

arranging varies modes of transportation for all outbound shipments, preparing and sending out correct documentation to clear

customs, and maintains clear and accurate records in the company’s computer database by performing the following duties.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Sort and attend to emails in a professional and friendly manner.
  • Receive incoming calls and answer in a polite/professional manner.
  • Operate office machines such as photocopiers, scanners, voicemail systems, and personal computers.
  • Process orders – In SAP create sales orders and picking lists, monitor and execute all special processing requests from customers, communicate with warehouse in regards to product availability, generate invoices, review and mail invoices
  • Coordinate and prepare shipping document for international outbound shipment, including packing list, Bill of Ladings, EDI
  • pallet labels, Country of Origin, USMCA Certificates, Affidavits, ISC forms, COA reports, Health Certificates, and carrier
  • shipping labeling, whether it be small parcel, LTL, or FTL.
  • Work and communicates with brokers, vendors, customers, sales team, freight forwarders and carriers to identify and resolve timing, condition, or other issues.
  • Data entry within multiple systems.
  • Investigate claims filed by non-compliance and compliance customers for shortages, overages, and damages, come to a conclusion whether they occurred in our warehouse or during shipping. File carrier claims through carrier's website if necessary.
  • Coordinate returns from export customers if not satisfied with product.

Education and/or Experience

High school diploma or general education degree (GED) ; and three to five years’ experience in a Logistics

office with exposure to all domestic and international paperwork or 1-2 years’ experience preforming

administrative assistant duties in a professional office environment or equivalent combination of education

and experience.


Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and

procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before

groups of customers or employees of organization.


Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions,

and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram

form. Ability to deal with problems involving several concrete variables in standardized situations.


Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Outlook Internet software; Manufacturing

software; Microsoft Spreadsheet software and Word Processing software. Nitro, Adobe and basic technical understanding of

HTML
