Job Summary

Accountable for the efficient and effective day-to-day operations of an assigned office function and provides principal support for the administration of the entity and its directors. Responsible for content development in various formats and for deployment of various media. Collaborates closely with the Operations Team to develop a communications strategy and manage a communications calendar including multiple platforms.

 

Principal Duties/Job Responsibilities

-Coordinates with the administrative support functions for a department or entity. Typically there is only one such position within a major division.

-Routinely handles confidential information on the entity's operations, Member information, and/or personnel allocations and budgets.

-Monitors project statuses and provides leadership with updates, budget compliance, and, as needed, corrective actions. And, where applicable, monitoring of grant expenses.

-Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards.

-Assists with content development efforts for written, video, and photo projects. Completes content development projects for social media, website, newsletter, and other forms of distribution as assigned. Uses platforms and tools such as Canva and Adobe Creative Cloud applications to finalize content for publication.

-Participates in development of IJP's overall communication strategy. Manages communications calendar for multiple communications platforms.

-Generates written content on a range of topics. Serves as a resource for team members undertaking written communications projects.

-Helps to shape content projects completed by other team members and serves as a first-line reviewer.

-Performs other related duties as required.

 

Required Education, Qualifications, Experience

-Associate's degree and at least three years' experience providing administrative support in a business setting which must have included experience in budget preparation and management or a minimum of two years' experience handling professional content creation across multiple platforms.

-Demonstrated ability to create multimedia content, including photography, video, and written formats.

-Must be familiar with conducting virtual meetings, trainings, and observations on software such as Zoom, and MS Teams.

-Intermediate proficiency with Adobe and Microsoft Office products (Word, Excel, OneDrive, Teams).  

-Knowledge of social media platforms and related communications software.

-Excellent organizational and project management skills.

-Strong writing skills with proven ability drafting compelling messages and narratives.

-Professional and organized with strong attention to detail. Ability to work collaboratively.

 

Preferred Education, Qualifications, Experience

-Bachelor's degree from an accredited college or university.

-Previous experience developing communication strategy and/or work product related to immigration issues or for immigrant-serving organizations.

-Fluency in English and Spanish in written and spoken forms.

-Prior non-profit experience.
