The John Moore HVAC Install Coordinator is the liaison between our sales team, our installation crews, our vendors and our customers. This person MUST be assertive, friendly and helpful.

Must possess great computer skills, written and verbal communications skills and exceptional organizational skills.

The ideal candidate for this job is resourceful, organized and a problem solver. Attention to detail and ability to manage a steady completion of workload in a timely manner are key to success.

Must be flexible on days/times, as weekend and night coverage may be needed.

Primary Responsibilities:

Report directly to the Install Desk manager and interact with other Department Managers. Receive and manage install projects from HVAC Sales technicians. This includes:

  • confirming with customer
  • scheduling install crew
  • managing materials and labor based on sold task codes
  • ordering materials
  • issuing vendor P.O.s
  • work with install desk to pull city permits (when permit is needed)
  • ensuring job stays on schedule and update customers
  • ensuring final payment is collected in full
  • scheduling Quality Control review (when needed)
  • following up with customer (project invoice, survey call, schedule inspection)
  • ensure city inspection is completed and passed
  • register equipment with manufacturer and provide registration information to customer
  • purchase extended labor warranties from manufacturer (when needed)
  • submit claims for warranty jobs (as applicable)

Manage the Service Titan dispatch board for HVAC install and ensure it is up-to-date Ensure installers are dispatched and arrive on time on a daily basis Answer phones and resolve customer conflicts when needed Check Slack communication from the call center and respond in a timely manner Perform all other related duties as assigned

Requirements:

 

  • 3+ years of experience as an Install Coordinator or dispatcher
  • 3+ years of experience working for a Residential Service company
  • Advanced computer skills
  • Must be enthusiastic, friendly and team oriented
  • Ability to follow direction and adapt to a fast-paced and ever changing environment
  • Professional, polite and have a positive attitude
  • Excellent communication and customer service skills
  • Must be a quick learner and highly motivated
  • Ability to prioritize and multitask
