Job description

The Human Services Agency has one vacancy for Human Services Office Supervisor. The ideal candidate will have exceptional customer service, organizational, and time management skills. Future vacancies for this position may be filled from the eligible list to be established. The typical life of a list is six months.

DISTINGUISHING CHARACTERISTICS
The Human Services Office Supervisor is a single-position classification utilized in the Human Services Department as the first-line supervisor of one or more units of clerical staff. Incumbents must have advanced experience in general administrative/clerical work, possess exceptional interpersonal skills and must be self-directed and able to function independently. Human Services Office Supervisor reports to the assigned Program Manager and, in addition to clerical supervision may provide administrative assistance to higher level management staff.

Plans, assigns, organizes and reviews the work of one or more units of clerical staff; establishes standards of clerical work performance and sets priorities for workload completion; assists in the development, implementation and revision of clerical procedures and office and automation systems; coordinates workflow between clerical, professional, investigative and other staff; participates in the selection, training and evaluation of subordinate staff; develops and modifies clerical training; reviews the work of subordinates for accuracy, completion and conformance to applicable standards and directs or makes changes as appropriate; maintains records and files; performs a variety of administrative duties for the divisions management staff; prepares or supervises preparation and maintenance of operational and/or statistical records and reports; prepares and maintains payroll records; may assist in budget preparation; orders and maintains forms and supplies for the division; provides information to employees, other divisions, departments and the public on matters that involve knowledge of departmental operation, rules and procedures; attends and participates in staff meetings; images, scans and issues EBT and medical cards; remains current on state mandates and Agency policies and procedures; updates policies and procedures; may be assigned special administrative projects, reports or duties.

Any combination of education and relevant experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required knowledge, skills and abilities would be:
Education: Equivalent to completion of the twelfth grade.
Experience: Four years of increasingly responsible clerical experience including at least one year in a lead capacity. (Substitution: Two years of college with course work in business, office practices or related subjects may be substituted for one year of the required non-supervisory experience.)
License: Possession of a valid appropriate California driver's license issued by the Department of Motor Vehicles.
Special Requirements: Ability to: (1) type and use a computer keyboard with speed and accuracy at a level sufficient to perform the duties of the position; (2) qualify for security clearance through a background investigation, which may include a fingerprint check depending upon program requirements.
Desirable Qualification: Clerical experience involving knowledge of California public assistance programs preferred.
