Summary

King County Superior Court is seeking qualified applicants for a Human Resources Support Specialist, supporting a busy HR department! The Court is one of the nation's largest trial courts, serving the country's 12th most populous county. Located in the beautiful Pacific Northwest, King County Superior Court is nationally recognized for innovation.
We are seeking candidates who are curious, flexible, and take initiative; identify and recommend process improvements; have superb customer service and technology skills, and support diversity, equity, and inclusion in the workplace.
The responsibilities of this position include managing specialized and technical office process and supporting administrative aspects of HR programs with limited supervision. Tasks involve providing comprehensive Human Resources information to customers, maintaining Human Resources databases, researching specialized or technical information, and undertaking various activities to support HR functions. The incumbent serves as a primary point of contact for Human Resources-related inquiries.

Job Duties

Primary job functions include, but are not limited to, the following:


  • Manage electronic and paper files; maintain Human Resources databases (e.g., PeopleSoft, NeoGov, ILINX) and HR department intranet content.
  • Coordinate, track, and monitor a variety of HR documents and work requests in electronic and paper format.
  • Process and enter HR-related transactions accurately and within deadlines or applicable timeframes using HR databases.
  • Work closely with recruiters to track and organize administrative steps for recruitments. Assist with screening applications, conduct applicable employment-related background checks, and employment examination proctoring. May schedule applicants for testing and interviews. Manage recruitment closeout.
  • Coordinate completion of all new hire paperwork and onboarding processes; may facilitate new employee orientation.
  • Provide administrative support for annual, recurring, and year-end HR programs (e.g., performance appraisals, recruitment records purging, hiring documents, etc.). Ensure deadlines are met and track completion. Verify all information for accuracy.
  • Effectively communicate a wide range of information to employees and the public. Research and respond to inquiries, interpreting and applying established rules, regulations, and employment laws in the process. Refer inquiries to other HR staff when appropriate.
  • Compile and provide a summary of specialized or technical information gathered from diverse sources for reports and presentations. Draft, summarize, prepare, proofread, and edit documents and correspondence, ensuring timeliness.
  • Track and maintain all HR-related records per established records retention requirements.
  • Maintain strict confidentiality of Human Resources information including personal information, employment decisions, criminal history records, disciplinary and other complex issues.
  • Plan and organize work, establish work methods. Analyze and recommend changes in workload and procedures.
  • Process mail, identifying priority and time-sensitive matters while maintaining security and confidentiality. Review and submit invoices for payment approval.
  • Perform other duties of a similar nature and level.

Experience, Qualifications, Knowledge, Skills

Qualified candidates will have:


  • High school diploma or general equivalency diploma (GED), and a minimum two years’ experience in an increasingly responsible administrative support role in a high-volume office.
  • Excellent organizational skills and attention to detail; understanding the importance of being exact.
  • Ability to work on projects simultaneously and complete projects within specified deadlines.
  • Demonstrated ability to effectively problem solve and apply good judgment and initiative.
  • Demonstrated ability to work with diverse populations and handle potentially volatile clients.
  • Ability to maintain confidentiality and use discretion when handling sensitive information.
  • Excellent oral and written customer service skills, including the ability to provide professional and courteous service.
  • Ability to establish and maintain effective working relationships with a diverse group.
  • Skill in reviewing and compiling data, developing reports, and creating charts and diagrams.
  • Ability to create, proofread, edit, and format documents according to standard business writing practices.
  • Excellent computer skills that include Microsoft Office applications.
Highly Desired Experience, Knowledge and Skills
  • Experience in Human Resources functions and familiarity with Human Resources information systems and databases.
  • Experience with test administration practices.
  • Experience maintaining SharePoint sites.
  • Knowledge of Human Resources practices and guidelines.
  • Demonstrated skill in the use of PeopleSoft HCM or other HRIS system.
  • Demonstrated skill in the use of NeoGov or other electronic applicant tracking system.

Work Location: This position is located in the King County Courthouse, 516 Third Avenue, Seattle, Washington.
The work associated with this position will be performed through a hybrid work schedule of onsite and remote work following initial period of in-person work. Employees must reside in Washington State and within a reasonable distance of their King County worksite to respond to workplace reporting requirements.
Work Schedule: This position is hourly and subject to the overtime provisions of the Fair Labor Standards Act (overtime eligible). This is a full-time position working a 35-hour workweek. The workweek for this position is normally Monday through Friday, 8:30 AM to 4:30 PM.

Supplemental Information

Special Requirements: The ability to reliably travel throughout the County is required. Finalists are subject to the Washington State Patrol criminal background check and a reference check. Criminal background records are not automatically disqualifying.
Selection Process: Application materials will be screened for qualifications and the most competitive candidates will be invited for interviews.Interviews are anticipated to occur the third week of March.
