Job SummaryThis position is responsible for providing administrative and customer service support the operations of the Middle Georgia State University Human Resources (HR) department in support of the USG eCampus Human Resources team. Responsibilities include tasks associated with the filling of job vacancies and other recruitment related administrative responsibilities for eCampus positions. The position will also provide support 50% of the time for MGA's HR office.
ResponsibilitiesEmployment and Recruitment (50%) -
Processes job requisitions for the posting of staff and faculty positions.
Provides assistance to departmental recruitment efforts by performing activities such as consulting with hiring managers in creating job requisitions, reviewing accuracy of job descriptions, ensuring compliance with application procedures, collecting search documentation, closing job positions, and other recruitment actions.
Maintains the accuracy and timeliness of job postings.
Utilizes the applicant tracking system (ATS) to manage and maintain organization of recruitment material.
Assists in the evaluation of job offers and ensuring candidates meet the minimum qualifications for employment.
Serves as a point of contact for student employment.
Employee Administration & Support (30%) -
Answers and screens visitors, telephone calls, and other communications; provides information and assistance to internal and external customers.
Enters and updates basic information into the Human Resources Information System (HRIS, online campus directory, and other applicable systems.
Assists with entering and updating employment and other data changes in HRIS, and other administrative actions.
Coordinates new employee hire orientation which includes benefit orientation sessions.
Processes employment and wage verification requests.
Assist with the update of organizational charts.
Schedules and organizes activities such as meetings, conferences, and department activities.
Orders and maintain office supplies.
Acts as back up to Human Resource Generalist.
Assists with various HR projects and/or special projects.
Handles sensitive and confidential information with discretion.
Performs other related duties as required and assigned.
Training and Development (20%) -
Identify employees that may require training.
Facilitate training for current employees.
Design material & presentations in relation to training etc.
Assist with the implementation and maintenance of annual and 6-month Performance Evaluations.
Educational Requirements
High school diploma or equivalent
Required Experience
At least three (3) years of HR related support or office experience.
Preferred Educational Qualifications
Associates degree in a related field from an accredited institution.
Preferred Experience
Five (5) years Human Resources or related administrative and customer service experience.
Experience with People Soft HCM and applicant tracking systems.
Higher Education experience a plus.
Knowledge and application of Federal and State employment laws, regulations, and legislation.
Knowledge of computer and job-related software programs.
Skill in prioritizing and organizing work
Skill in the use of such office equipment as a scanner, fax machine and copier
Skill in oral and written communication
Skill in interpersonal relations
Excellent customer service skills
Excellent organizational skills
