Location: The Salvation Army Corps - Florence, Alabama
Position Title: Human Resource/Office Administrator
Position Type: Full Time / 40 weekly hours.
Pay Rate: $18.64/hour
Schedule: Monday – Friday (8:00 am – 4:30 pm)
About this opportunity:

  • Coordinates, administers, and monitors the Corps employee personnel program. Coordinates and monitors the day-to-day operations of the Personnel Department including personnel records, promotions, transfers, terminations, grievances, worker’s compensation, pension and health plan matters. Monitors and enforces personnel policies and procedures. Compiles, submits and maintains appropriate records with Divisional Headquarters including records requiring Divisional Finance Board approval. Performs typing and generating of various correspondence; processes a variety of routine paperwork necessary for office operations. Processes and maintains time and attendance records and balances. Serves as a lead worker to office personnel.
Responsibilities include:
  • Serves as a lead worker to Corps administrative staff and volunteers representing the Human Resources discipline.
  • Monitors employee time and attendance records; audits available leave balances for employees in accordance with established policies; advises Corps Officer of consistent tardiness, excessive absences and other related attendance issues; corrects mis-punches; keys absences and punches manually if necessary to correct missed time reporting by the employee; ensures employee time is entered into the electronic time keeping system efficiently to make the bi-weekly payroll.
  • Types correspondence, agreements, check requests, agendas, minutes, newsletters, bulletins and/or reports in an accurate and timely manner.
  • Prepares, updates, and monitors personnel records.
  • Updates and monitors the approved Driver List through Chesterfield Services Inc.
  • Establishes and maintains I-9 system for all current and terminated employees in compliance with I-9 rules and regulations.
  • Audits monthly enrollments, terminations, and changes to the Corps’ billing statement for The Salvation Army Health Plan for Divisional Headquarters.
  • Acts as liaison between the Corps and the community groups, i.e., Florence Chamber of Commerce; touches base with them on a monthly basis to ensure proper communication on community events and information.
  • Assist in the management of social media pages. To include: responding to messages and comments and, creating and posting content notifying the community about Salvation Army programs, services, culture, and church services; ensures proper policies, protocols, guidelines, and rules are closely followed.
  • Plans, directs, and monitors all employment history files; ensures that all records are properly organized and maintained.
  • Conducts a recruitment program calculated to maintain a superior work force through job posting, advertising, interviewing, reference verification, background investigations, testing, and new employee orientation.
  • Ensures the Corps Officer(s) is informed of significant problems that jeopardize the achievement of objectives, and those which are not being addressed by department heads/supervisors, particularly in personnel matters.
  • Safeguards the security and confidentiality of personal/private information on employees except where duty requires communication with a superior officer.
  • Receives and responds to personnel-related questions from employees.
  • Serves as a liaison for other departments and/or other divisions seeking information or services from the supervisor.
  • Assists the Corps Officer(s) and department heads in monitoring general job performance, socialization within the office, employee attitude and interaction with others.
  • Processes mail in an accurate and timely manner; ensures that all mail received is forwarded to the appropriate person and/or destination.
  • Monitors and ensures completion of 90 day and annual evaluations by supervisors and department heads.
  • Submits and handles all insurance claims for employees at the Corps and CSRC.
  • Assists with volunteer process by submitting and following up on all MVR’s and background checks.
  • Handles getting COI’s as needed.
  • Ensures used car dealer’s licenses are maintained and up-to-date.
  • Supervises the hiring and termination of seasonal employees; ensures required payroll information is submitted in a timely manner.
What we are looking for in you:
  • Two-year degree from an accredited college or vocational school in Human Resources or a related field,
and
  • Two years’ experience performing personnel and administrative work,
or
  • Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
LICENSES AND CERTIFICATIONS:
  • Valid State Driver’s License.
Physical Requirements and Working Conditions:
  • Ability to meet attendance requirements. Ability to read, write, and communicate the English language. Ability to perform mathematical calculations. Ability to sort and file documents alphabetically and numerically. Ability to travel to conferences, seminars, training, etc. Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones or speaking in person to employees requiring assistance. Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time. Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like. Travels to various destinations for conferences, seminars, training, etc. where there could be discomforts associated with changes in weather.
