ESSENTIAL FUNCTIONS:

  • Provide service for incoming calls, visitors, and correspondence to the department.
  • Answer common Human Resources questions from Team Members.
  • Complete projects and provide general administrative support to the HR team.
  • Provide assistance to recruiters by screening candidates, scheduling interviews, and coordinating travel and accommodations for candidates. May extend offers for certain non-exempt positions.
  • Onboard new Team Members and ensure pre-employment testing is completed. Responsible for ensuring all required documents are obtained and filed.
  • Complete verification processes for new Team Members, such as E-Verify and visual compliance.
  • Responsible for scheduling orientation and Learning events for new and existing Team Members, including invitations, booking rooms and presenters, and working with Administrative Services for meals and snacks as needed.
  • Perform administrative functions such as creating documents, handling mail, and maintaining filing.
  • Responsible for planning and coordinating the summer Intern program, including onboarding/offboarding interns, ensuring housing and accommodations requests are met, and working with presenters and vendors throughout the summer program.
  • Register the recruitment team for selected recruitment events and attend career events as needed.
  • Run reports and provide information as requested.
  • Demonstrates the Viaflex Team Member Values in their daily actions.
  • Maintain a clean and safe work area. Follow established safety and ergonomic standards.
  • May be called upon to perform comparable duties of a similar or related nature and/or assist in other areas.
  • Learning, understanding, continuously improving, and promoting the company’s quality management system and controls.

EDUCATION & EXPERIENCE:

Associates degree or equivalent education and experience. Minimum 2 years of Human Resources or administrative experience is preferred.

KNOWLEDGE, SKILLS & ABILITIES:

Ability to work with highly confidential information and documentation with discretion. Exceptional oral and written communications, and customer service skills. Proficient with computers, including Microsoft Office programs. Familiarity with the HR body of knowledge is beneficial. Strong organizational and problem-solving skills. Ability to be flexible and multitask. Team player who is self-motivated and has ability to work with minimal supervision. Ability to communicate effectively with team members and leadership staff.

Physical Requirements: Required to sit, stand, walk, bend, and reach. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Working Conditions: Exposure to a normal office environment. Position may occasionally require entering a production environment, including exposure to noise, fumes, moving machinery, and varied temperatures.
