Job description

Performs a variety of paraprofessional, technical and administrative duties to support Human Resource services and activities for the Administrative Office for the Courts and as directed to the Supreme Court, Court of Appeals and Supreme Court departments. Provides customer service and information involving frequent contact with employees, management and the general public. Provides assistance and support to the HR Consultants and HR Associate Director.

Reporting to the Associate Director, Human Resources (A/D), this position performs assignments and works independently under general supervision within designated areas of responsibility. Decision-making is carried out in accordance with generally defined guidelines/procedures and occasionally calls for interpretation and application of rules and regulations. Interacts regularly with management and staff throughout Administrative Office of the Courts, the Supreme Court, Court of Appeals and other judicial branch state government agencies as well as the general public.

Location: Olympia, Washington

Salary: Range 57: $61,056 - $80,112 per year (DOQ).

Note: Eligible employees who choose to provide proof of up-to-date COVID-19 vaccination as recommended by the CDC at the point in time when proof is provided (between date of hire and December 31, 2023) will receive a one-time lump sum payment of $1000.

WASHINGTON STATE RESIDENCY AND TELEWORK INFORMATION

AOC requires employees to reside in Washington State. Any exceptions must be approved. If you are invited to interview and currently reside outside of Washington State, seek more information about residency requirements from the AOC hiring manager of this recruitment.

Position is eligible to telework up to 2 days per week.

  • Within areas of responsibility, provides customer assistance and information to staff, management and outside customers regarding Human Resource operations and directs other inquiries and issues to HR Consultants or the A/D.
  • Provides support to the HR team, including support for various HR programs, including recruitment, payroll processing, classification, training, file maintenance and project development; coordinating staff and project meetings; receiving and distributing mail; coordinating purchases (supplies, etc.) and acting as point person for general equipment needs and maintenance (copiers, printers).
  • Acts as the administrative support for recruitments in the Administrative Services Division (ASD), scheduling interviews and coordinating/starting video interviews.
  • Updates and maintains organizational charts, producing new ones for special projects as needed.
  • Creates and modifies HR forms.
  • Creates and distributes monthly HR Newsletter for AOC staff as well as the modified newsletter for other judicial branch agencies.
  • Sends communications on behalf of the HR Office as directed.
  • Reviews the HR web page for needed updates; coordinates posting of new information and submits tickets for updates as needed/directed.
  • Updates and maintains the employment boards in the lunchrooms to ensure the most recent federal and state law posters/notifications are posted.
  • Provides support for the Employee Appreciation events and New Employee Orientation (NEO) programs.
  • Acts as HR representative and provides program support for the Safety/Wellness Committee activities and acts as the agency Washington Wellness Coordinator.
  • Other duties as required.

A combination of six years of relevant education, certifications and experience demonstrating a proficient working knowledge of the duties and responsibilities of the Human Resource Specialist; to include at least:

  • Two years of progressively responsible administrative and/or Human Resource assistant experience.

THE IDEAL APPLICANT WILL ALSO HAVE SOME OR ALL OF THE FOLLOWING EXPERIENCE, EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES

  • Intermediate to high level proficiency in using ADOBE, presentation software, and all other Microsoft Suite products (excel, word, Visio, ect).
  • Ability to develop trust and establish/maintain effective working relationships with management, employees and the public.
  • Skill in interacting effectively with a wide diversity of clients and customers.
  • Ability to understand customer expectations and ensure work meets those expectations.
  • Ability to communicate effectively orally and in writing; ability to communicate proficiently in written reports as well as delivering information in presentations.
  • Communication skills that facilitate effective, appropriate information exchanges at all levels.
  • Ability to deal tactfully with sensitive situations.
  • Ability to maintain confidentiality and privacy.
  • Ability to multi-task and effectively work on multiple projects simultaneously.
  • Ability to organize, prioritize and effectively manage assignments to meet productivity standards, deadlines, and work schedules; accepts personal responsibility for the quality and timeliness of work.
  • Ability to anticipate potential problems/opportunities and adjust plans accordingly.
  • Ability to prepare correspondence and informational materials.
  • Knowledge of Human Resource principles.
