Job description

Provides customer service with a professional attitude to patients, family members, visitors, and staff. Greets and welcomes all staff, patients, and visitors to the nursing units. Responsible for assisting in the coordination of clinical and non-clinical duties to facilitate the delivery of patient care. Provides direct administrative support to Nursing Leaders.

JOB DUTIES & RESPONSIBILITIES

  • This position has a critical role in the coordination of communication and information for Inpatient Care. As the first point of contact, it is imperative that the person in this role consistently demonstrates genuine interactions through words, actions and body language with patients, visitors and staff using the principles of a warm welcome. These principles include making eye contact, smiling, and providing a warm greeting. Typically, interactions may occur in the following ways:
    • Face-to-face interactions
    • Telephone calls
    • Call lights
    • Written correspondence.
    • Warm transfer
  • Meets and exceeds The Joint Commission requirements in all aspects of work.
  • Coordinates all assigned aspects of admissions, discharges, and transfers of patients, working collaboratively with all team members.
  • Provides physician support as assigned.
  • Provides direct administrative support to Nursing Leaders preparing presentations, updating reports, creating documents and other administrative tasks.
    • Demonstrates knowledge of and behaviors consistent with the Hospital Code of Business Ethics and Corporate Compliance policies and procedures daily.
    • Embrace and demonstrate the Mission, Vision, Values, and Dimensions.
    • Use the principles of a warm welcome to greet patients, visitors, and staff.  These principles include making eye contact/looking up and smiling; warm greeting; anticipating customer’s needs; making an emotional connection and building rapport; using a name when appropriate; acknowledging others when helping someone else; being genuine and sincere through words, actions and body language.
    • Provide assistance to individuals in a manner that takes into account their physical, special, or age-related needs.
    • Arrive to work on time, as scheduled and is flexible with work schedule to meet the needs of patients and visitors.
    • Answer and direct incoming phone calls and call lights in a professional and accurate manner.
    • Works well with others, including volunteers.
    • Always present a positive image while directing patients and visitors to appropriate areas.
    • Notify registration of patient arrival to the unit if not pre-admitted. Completes admissions registration paperwork. 
    • Reviews admission status to ensure correct status, working closely with care manager to ensure accuracy.
    • Coordinate admission of patients and complete proper admission documents. Assist nurse with room assignments when necessary. Assure prompt completion of admission diagnostic work with assistance from RN. Notify nurse of any STAT treatments or medications. Maintain medical records in an orderly manner. Ensure all forms are labeled with patient label. Obtain past medical records as indicated.
    • Coordinate discharge / transfer of patients, working collaboratively with other team members. Prepare medical records for discharge or transfer.
    • Makes outside appointments for patients and documents appointments on the AVS. Arranges for transportation to the appointments by facility van or other, as needed.
    • Provides physician support. Scans for unsigned orders and sends alert to physician.
    • Assist with meaningful use. Page physician when medication reconciliation is not complete. Sends a “dear doctor” message when the problem list isn’t complete.
    • Scans chart to review physician orders and notifies the nurse and/or other discipline of new orders.  
    • Refer telephone, verbal orders, and critical labs to RN. Facilitate scheduling of diagnostic studies and tests.
    • Completes chart audits as assigned.
    • Assigns treatment team members in Epic.
    • Prepare paperwork for next shift.
    • Keep admission packets stocked on the unit.
    • Keep desk stocked with needed clerical supplies.
    • Mentoring and orientating new staff as appropriate.
    • Communicates problems and concerns directly to individuals involved, managers, or charge nurses.
    • Actively participates in quality improvement activities.

Specific Knowledge, Skills, and Capabilities:

  • Knowledge and ability to use computer systems and other office equipment, including but not limited to MS Outlook, MS Word, and MS Excel
  • Excellent customer service skills
  • Strong verbal and written communication skills
  • Understands tension in stressful situations and can deescalate those present and remain calm in emergency situations.   
  • Must possess time management skills and ability to set priorities.
  • Ability to work collaboratively with others to provide the best outcomes for patients.
  • Create a positive atmosphere by maintaining professional demeanor in all verbal and written communication.
  • Ability to independently prioritize workload based on unit acuity and activity and complete tasks with little direct supervision.
  • Ability to maintain confidentiality of information related to patients, employees, and hospital business.
  • Ability to work collaboratively with others to provide the best outcomes for patients.
  • Ability to accurately type at the rate of at least 60 words per minute.

 

Required Qualifications:

High School diploma required. 

Preferred Qualifications:

  • Associate degree preferred; previous work experience will be considered in lieu of degree.
