Job Summary:
The Warranty Claims Specialist is responsible for reviewing warranty, policy work orders, and the processing of Warranty Claims to original equipment manufacturers (OEMs). The incumbent will manage daily tasks in an efficient and effective manner, to assure maximum financial recovery is received to offset warranty spend. A Warranty Claims Specialist has moderate knowledge of Warranty Claims and OEM concepts, practices, and procedures; works under immediate supervision.
The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources. 3) Participate in ongoing self-development.
Essential Functions:
  • Verifies product warranty coverage information.
  • Processes Warranty Claims, remittance, and variances as they pertain to OEM specific requirements for type of product.
  • Organizes, notates, and submits Warranty Claims to maximize warranty recovery.
  • Reviews, corrects, and submits pending, returned and/or, rejected claims properly.
  • Provide support to Service Managers/Supervisors with Warranty related issues and questions.
  • Administers the Product Improvement (PIP), Product Support (PSP) and Field Campaign Claims.
  • Coordinates PIP completion in support of Technical Services department technicians.
  • Reviews work orders to ensure that all required information is present and additional supporting details or documentation is present for maximum financial recovery.
  • Advises operating department managers, supervisors, and service technicians on warranty philosophy, policy, process, and coverage information.
  • Maintains departmental and individual goals/metrics established by management.
  • Assists Warranty Claims Specialist I with questions related to claim scenarios.
  • Models, promotes, reinforces, and rewards the consistent use of HOLT's Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and Mission.
  • Works safely always and adheres to all applicable safety policies; complies with all company policies, procedures, and standards.
  • Performs other duties assigned.

Knowledge, Skills, and Abilities:
  • Knowledge of principles, practices, and methods of warranty administration as it applies to individual equipment and part manufacturers.
  • Technical knowledge with OEM products.
  • Knowledgeable with DBS, Claimsi, and Simsi.
  • Knowledge of DBS platform functionality to include navigating work orders, warranty claim segments, revenue segments, opening and closing work orders, and proper claim coding/coverage application.
  • Proficient with MS Office products, e.g., Word, Excel, Outlook, etc.
  • Demonstrates accuracy and thoroughness, and skills in a metrics driven, collaborative team-oriented work environment.
  • Understands the implications of new information in both current and future state and its application to problem solving and decision making.
  • Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Interpersonal and communication skills, both written and verbal, with the ability to adapt to a variety of DISC styles.
  • Efficient customer service skills with an ability to solicit and receive feedback, respond promptly to requests, and meet commitments.
  • Ability to read, analyze, and interpret professional journals, technical procedures, or governmental regulations.
  • Ability to instruct or discuss warranty procedures and expectations with other departments within HOLT CAT
  • Ability to understand, interpret, and communicate warranty guidelines and claiming process specific to two or more major OEMs.

Education and Experience:
  • Minimum two years of work-related skill, knowledge, or experience is required.
  • High school diploma or equivalent required.

Supervisory Responsibilities:
  • None

Travel:
  • Limited travel may be required.

Physical Requirements:
  • This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets, etc.
  • This role frequently communicates with others, must be able to exchange accurate information in these situations.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • Occasionally requires time spent walking, standing, and moving about in a shop or warehouse environment.

Work Environment:
  • This job is generally performed in a professional controlled office environment.
  • Occasionally this position will be required to perform duties in shop or warehouse environment with exposure to dirt, chemicals, loud noise, dangerous equipment and materials.
  • Frequently works at fast pace with unscheduled interruptions.
