Assist with the preparation of regular district payroll, including related reports and deposits. Work under moderate supervision to ensure accurate and timely preparation of payroll records according to prescribed procedures and regulations. Handle routine HR inquiries and provide responsive and knowledgeable assistance to employees.
Qualifications:Education/Certification: High school diploma or GED; Bachelor's degree preferred

Proficiency in keyboarding and file maintenance
Ability to maintain accurate & auditable records
Ability to use software to develop spreadsheets, databases, and do word processing
Ability to work with numbers in accurate and rapid manner to meet established deadlines

Experience:
2 years of clerical/office or accounting/human resources experience
Major Responsibilities and Duties: HR Support- Process new hire paperwork including criminal history information, references, and other application materials.
- Maintain files with signed contracts, job descriptions and pay memos as well as all necessary documentation for employment. Review certifications to ensure that teachers have the appropriate credentials for assignments.
- Maintain position control system in an accurate and timely manner. Reconcile job descriptions with position control to ensure that there is a job description for every job. Follow up with supervisors to make certain that job descriptions are reviewed and updated on a regular basis.
- Process requests for official district records, including maintaining log of records requests, retrieving documents, copying, and mailing records. Respond to requests for verification of employment.
- Assist with the coordination of the district's leave (FMLA), workers' compensation, and unemployment compensation benefit programs including overseeing relationship with third-party administrators.
- Assist in ensuring district compliance with federal and state laws and regulations.
Data Entry
- Prepare and post all payroll changes including payroll deductions, salary changes, termination, and new employee information.
- Complete monthly TRS processing & reconcile insurance deductions.
- Complete the Works Time 1095 uploads monthly.
- Reconcile TrueTime timesheets for hourly employees. Contact the campus or department for necessary corrections.
- Submit unemployment compensation monthly, 941 quarterly/annual reports and W-2 processing.
- Enter new employee information into the Skyward system and place on the correct tier of the organization chart and update as needed.
- Prepare correspondence, forms, and reports according to district standards and requirements.
- Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
- Greet visitors and assist employees and applicants to complete applications and required paperwork.
- Assist with the preparation and distribution of employment contracts.
- Maintain confidentiality.
- Assist with elections that take place in the community during early voting periods.
- Follow district safety protocols and emergency procedures.
- Other duties as assigned by supervisor/Superintendent.
