POSITION SUMMARY:
Under the direction of the Chief Human Resources Officer, the Human Resources Support Specialist will support the Human Resources Department by completing various administrative tasks in the areas of recruiting, / talent acquisition, employee relations, promotion/separation, payroll, compensation, benefits, employee relations, event planning, and performance management. The individual must be able to perform all functions with the highest level of consistency, integrity, and confidentiality.
This position will hold a valid commission as a Notary Public in the Commonwealth of Virginia and perform the related function.
POSITION DUTIES AND RESPONSIBILITIES
- Provides extensive administrative support to the Human Resources team, ensuring their needs are met with limited supervision and guidance, with a solid attention to detail.
- Answers frequently asked questions from applicants and employees, relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to assigned subject matter expert.
- Key new hire, terminations, and status changes in ADP and ESO.
- Provides support to the Human Resources department related to recruitment, benefits, HRIS (Human Resource Information System), event planning, New Employee Orientation, and filing systems.
- Maintains the integrity and confidentiality of human resources files and records.
- Monitor invoices received by Human Resources and submit appropriately to the CHRO and Finance Department to ensure prompt payment including monthly reconcile of benefit invoices.
- Assist Talent Acquisition Specialist with coordinating and attending Career Fairs. Participates in Career Fairs as requested.
- Coordinates schedules, manages appointments, and facilitates HR commitments.
- Ensures timely completion of reports as requested by CHRO.
- Maintains accurate and up-to-date human resources files, records, and documentation along with assisting in paperless initiative to house all employee records electronically.
- Organizes programs, events, luncheons, meetings, webinars or conferences as requested.
- Acts as a liaison between the organization and external benefits providers and vendors, which may include, health, disability, and retirement plan providers.
- Works closely with CHRO
- Serves as backup to Payroll and Talent Acquisition, as needed.
- Assist with Education Agreements and Computer Loans, as needed.
- Coordinates assigned special projects within deadlines.
- All other duties and responsibilities as assigned by the CHRO.
MINIMUM REQUIREMENTS
- High School Diploma or equivalent (GED)
- Customer Service experience
- Possession of strong phone etiquette and a friendly, interpersonal approach.
- Ability to work collectively with all levels of staff.
- Strong knowledge of Microsoft Suite (Word, Excel, PowerPoint, Outlook, Access).
- Knowledge of Human Resources Information System (HRIS), ADP Preferred
- Hold a valid commission as Notary Public in the Commonwealth of Virginia within 3 months of starting position
- Must be a team player in a fast paced environment with focus and attention to detail
- Must be able to perform in office as this is not a hybrid position
- Minimum travel and overnight stays may be required.
CONDITIONS OF EMPLOYMENT:
- Candidates selected for employment are subject to a urinalysis to screen for illegal drugs. Candidates who refuse to be tested will be denied employment with the Richmond Ambulance Authority
- Candidates selected for employment are subject to a fingerprint background screening. Candidates who refuse to be fingerprinted will be denied employment with the Richmond Ambulance Authority
- Participation in the COVID-19 vaccination program, or having an approved medical or religious exemption on file with Human Resources is required for all Richmond Ambulance Authority Personnel
- New employees complete a probationary period
PHYSICAL DEMANDS:
- Ability to move throughout Authority to accomplish assigned duties;

- Ability to move moderately heavy objects (e.g. boxes of claim forms, manuals,
Mail trays and supplies).
- Must be able to perceive the nature of sounds at normal speaking levels with or without correction and receive detailed information through oral communication.
