Job Summary

The HR Shared Services Specialist will provide essential administrative support to the HR department, specifically focusing on facilitating the efficient functioning of HR Shared Services operations. Aiming to deliver exceptional HR services, continuous process improvements, and supporting with a strategic approach that offers streamline and efficient systems and operating procedures that support the needs of the employees, and organization.

Responsibilities

  • This position will be responsible for auditing processes (weekly & monthly), partnering with vendor(s) to coordinate efforts in maintaining compliance with AAP/EEO/VETS. This position will be responsible for data analyzation and partnering with the regions HRBP’s (HR Business Partners) and HR Managers, to utilize data for assistance with recruiting and selection processes. Responsibilities include development, monitor, review (determination of compliance), train, and measure the effectiveness of our Affirmative Action/Equal Employment programs.
  • Ensure third-party vendors meet service level agreements for HR processes they are managing. Maintaining professional competence and continuous improvement through continuing education and professional development – keeping abreast of current laws, and effective AAP, and EEO, strategies.
  • Support HR reporting and analytics by compiling, analysing, and presenting HR data and metrics for informed decision-making. Anticipate further needs related to colleague’s inquires and requests to provide thorough and timely responses with follow through and execution.
  • Assist in the support and research of employee onboarding, Form I-9 and/or E-Verify Processes.
  • Partner, and manage, all outplacement efforts, and be the liaison and point person for any coordination needs within all regions.
  • Other miscellaneous duties and/or projects as assigned by Manager.
  • As a Human Resources Shared Services Specialist, you will work with colleagues across the organization and help educate, problem solve, and service the needs. Collaborate with HR Business Partners, Talent Acquisition Team, Compensation Team, and other stakeholders to ensure effective coordination and alignment of HR services.
  • Identify process improvement opportunities, trends, develop and enhance internal standard operating procedures to provide valuable and thoughtful resolutions, independently manage work within established time limits with a high degree of care and accuracy.
  • Keen with attention to detail, passionate about accuracy, and committed to demonstrating timely follow through and execution with work, inquiries, and requests when needed.
  • Collaborate and at times, serve as a point of contact for the HR Centres of Excellence (COEs), to support and assist with delivering successful execution of work, assignments, and projects.

Basic Qualifications

  • Bachelor's Degree in relevant discipline (e.g., Human Resources, Business Administration, or related field) is preferred and/or, a minimum of (5) years’ experience in HR, or HR Shared Services roles, demonstrating a strong understanding of HR processes and practices as well as leading or supervising a team.
  • Experience with HR technology and use of HR Information Systems
  • Experience in collaborating with HR Business Partners, Talent Acquisition teams, and other stakeholders to ensure effective coordination and alignment of HR services.

  • Keen with attention to detail, passionate about accuracy, and committed to demonstrating timely follow through and execution with work, inquiries, and requests when needed.
  • In-depth knowledge of HR operations and Shared Services functions, such as employee data management, HRIS administration, benefits administration, and employee services.
  • Strong understanding of HR practices, policies, and regulations
  • Strong organizational skills, good stakeholder management, collaboration, and teamwork
