About the Department:Human Resources Information Management and Analytics, within the Division of Human Resources, is responsible for a variety of diverse personnel functions and activities for SHRA, EHRA and temporary employees.
The unit is responsible for instructing campus on the functionality of the university personnel system, troubleshooting the university personnel system, the interpretation and administration of State and University compensation and leave policies, and the verification of prior state service for SHRA employees.
The unit is also responsible for the technical hardware and software support within the Division of Human Resources, as well as all reporting for the Division of Human Resources to various users throughout the campus as well as other private and governmental agencies and the development and maintenance of the Human Resources website.
Join the HRIMA team as the Records Manager, where you’ll play a crucial role as the primary point of contact and subject matter expert in employee record management. Our team is dedicated to maintaining compliance with public records laws, records retention schedules, and University policies.
As our Records Manager, you’ll be responsible for a diverse range of tasks including but not limited to:
Consultation & Collaboration:
- Consult stakeholders on employee records, retention, and verification.
- Collaborate with general counsel and HR Data Steward on public records and litigation.
Data Management, Verification:
- Maintain The WorkNumber table and employee verifications with OIT and Equifax.
- Digitally image personnel files using OnBase.
- Oversee requests for Public Service Loan Forgiveness, prior state service, and income, employment, and leave verifications.
- Verify state service and leave balances for SHRA and EHRA employees.
Supervision:
- Supervise work study students for HRIMA.
Other duties as assigned.
Minimum Education and Experience:Bachelor’s degree; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Other Required Qualifications:Confidentiality & Compliance
- Proven experience managing and maintaining confidential hard copy and electronic personnel files for internal and external customers.
- Familiarity with State of NC Records retention regulations and public information laws.
Detail-Oriented Process Management:
- Demonstrated experience in managing detailed processes with high attention to detail.
- Proficient in utilizing advanced functions of Microsoft Office, Google Suite and other technology tools
- Knowledge of various employee appointment types and the regulations that govern their employment status, benefits, and eligibility.
- Experience with OnBase, Sharebase and Monday.com, and the Work Number.
- Experience working with leave records.
