PURPOSE

The HR Operations Specialist (NHC) is responsible for supporting HR and Training operations in the Las Vegas health centers. This position is responsible for enablement and delivery of HR operational services, guidance, and support on health center HR matters and activities, such as: data entry, file management, recruitment, job descriptions, onboarding, offboarding, training, workflows, processes, policies, and CHCi updates. The HR Operations Specialist (NHC) applies technical support in HR operational matters to enable and enhance management and staff and HR individual and team performance and productivity.

ESSENTIAL JOB FUNCTIONS AND DUTIES

  • Data Management:
    1. Enters and manages access and data for all health center employees in the Learning Management System (e.g., new hires, terminations) for effective and efficient data management and tracking.
    2. Makes updates to weekly, Bi-Weekly, and monthly reports and lists (e.g., phone lists, staffing report, new hires/promos/transfer report, monthly birthday, anniversary reports, etc.).
    3. Creates and maintains electronic Las Vegas drives and personnel files.
    4. Tracks upcoming and outstanding HRBP docs.
  • Policies and Practices:
    1. In partnership with Las Vegas HR team; evaluates, drafts, implements policies and processes.
    2. Documents operational procedures and workflows for the HR Team.
    3. Oversight of management and staff compliance training requirements, safety, and quality initiatives.
    4. Responsible for internal tracking, analyzes, and audits of health center policies, procedures and trainings.
    5. Assists with developing and coordinating policies and procedures.
  • Training Support
    1. Supports training initiatives through co-facilitation.
    2. Maintains tracking of all attendees for health center training and development initiatives.
    3. Supports the management of and communication of upcoming trainings.
    4. Project manages various HR and Training initiatives.
  • HR Administration:
    1. Provides administrative support, as needed (e.g., copying, faxing, etc.).
    2. Contributes ideas to plans and achieving department goals.
    3. Sends pre-hire paperwork to new hires (e.g., background check and reference check authorizations).
    4. Conducts background and reference checks on new hires.
    5. Sends pre-hire notifications and new-hire confirmations.
    6. Sends new-hire paperwork to new hires (e.g., new hire form, W4s, Direct Deposit, Emergency Contacts, etc.).
    7. Sends first-day, new-hire paperwork for signatures in DocuSign (e.g., Employee Acknowledgement, COVID-19 attestation, Job Description, etc.).
    8. Sends various documents for signatures in DocuSign.
    9. Partners with management and staff, Las Vegas HRBPs, and the HR Centers of Expertise (e.g., Talent, Benefits, and Compensation) to support core HR services and activities for efficient and effective day-to-day HR operations.
    10. Accurately administers regular and ad-hoc day-to-day operational and administrative activities and duties in accordance with established protocol, process, guidelines, forms, timelines, etc. Tracks, analyzes, and reports on recruiting, turnover, and headcount levels.
    11. Set goals and achieve measurable results for this support role in conjunction with the HR team.

ESSENTIAL QUALIFICATIONS

Years of Experience and Knowledge

  • 2 ~ 4 years of related experience minimum
  • 1 ~ 2 years of project management experience preferred
  • Working knowledge and experience in various HRIS systems and training platforms
  • Working knowledge of and experience in recruitment, HRIS, HR Operations (processes, policies, practices and procedures), and reporting.

Education, Licenses, and Certifications

  • Associate's degree in Human Resources, Business Administration, or related field preferred or equivalent work experience

Skills and Abilities

  • Intermediate level Microsoft Office skills (PowerPoint, Word, Outlook)
  • Intermediate level Microsoft Excel skills
  • Intermediate level system(s) skills in HRIS and related HR/Training systems
  • Preferred fluency (speak and write) in Spanish
  • Effectively and consistently maintains high levels of confidentiality, sensitivity, respect, and support on all matters and to all Customers and vendors.
  • Efficiently performs research, gathers data, and compiles information into user-friendly documents.
  • Effectively manages and collaborates with internal/external relationships and partnerships

Salary range for this position: $57,900~$72,400. Actual base salary may vary based upon, but not limited to: relevant experience, qualifications, expertise, certifications, licenses, education or equivalent work experience, time in role, peer and market data, prior performance, business sector, and geographic location.

Work Schedule (may vary to meet business needs): Monday~Friday, 7.5 hours per day (37.5 hours per week).
