Job description

Envision Technology Advisors is an IT consulting and engineering practice focused on planning, designing, implementing and managing technology solutions for our clients. We're looking to enhance our team with a HR & Finance Coordinator.

This role seamlessly integrates human resources and finance functions by overseeing a spectrum of tasks. In the human resources realm, the coordinator contributes to recruitment processes, onboarding activities, and employee relations, ensuring a positive and efficient workforce experience. Additionally, the role extends into the finance domain, where meticulous attention is given to accounts payable responsibilities, including invoice processing, vendor communication, and financial documentation management.

The HR & Finance Coordinator serves as a linchpin, facilitating collaboration and coordination between the HR and finance teams. This involves not only managing day-to-day operations but also participating in the implementation and enhancement of HR and finance policies and procedures. In essence, this multifaceted position is designed to optimize the synergy between HR and finance, ensuring that both functions operate cohesively.

Job Duties and Responsibilities

  • Maintain and update employee records, including personal information, benefits, and performance reviews.
  • Ensure compliance with record-keeping regulations.
  • Collaborate with stakeholders to ensure accurate and timely administration of employee benefits.
  • Using HRIS software to input and manage employees and run reports extracting data for analysis.
  • Assist in the development and implementation of HR policies and procedures, ensuring compliance with employment laws and company policies.
  • Staying informed about changes in employment laws, ensuring HR practices align with legal requirements.
  • Organize and participate in employee engagement events.
  • Contribute to a positive and inclusive workplace culture.
  • Support in various HR initiatives, such as but not limited to wellness programs or recognition events.
  • Handling general HR administrative duties, including filing, correspondence, and data entry.
  • Assist with company recruitment, by posting job openings, screening resumes, and coordinating interviews.
  • Managing incoming calls and inquiries on the organization’s main line, directing, and assisting callers with appropriate information and allocation.
  • Review invoices for appropriate documentation prior to payment.
  • Manage accounts payable to ensure timely payments.
  • Perform invoice and general-ledger data entry.
  • Reconciliations of credit card and bank accounts.
  • Strengthen and grow relationships with vendors and suppliers.
  • Assist in streamlining and improving processes.
  • Review company payrolls in ADP for accuracy.
  • Prepare financial statements.
  • Categorize business expenses and reconcile totals against budgets.
  • Approve expense reports submitted by staff.
  • Assist in commissions reporting.
  • Maintain an electronic filing system of vendor communications and invoices.
  • Other responsibilities as needed.

Desired Skills and Qualifications

  • Excellent written and verbal communication skills.
  • Highly organized.
  • Able to self-direct and prioritize tasks.
  • Experience in a Human Resources role is required.
  • Understanding of basic principles of accounting is required.
  • Experience with QuickBooks, Bill.com, Dynamics, and/or ADP preferred.

Job Type: Full-time

Pay: $20.00 - $30.00 per hour
