HR Compliance Generalist
Equiliem is an award-winning recruiting firm headquartered in East Brunswick, NJ. We are on an exciting trajectory of growth that has put us in the position to seek a Human Resources Compliance Generalist. This role will be responsible for regulatory compliance for our pre-employment screening , supporting the implementation and maintenance of OSHA standards and actioning workers' compensation claims, and managing the independent contractor and overtime exempt requests. The HR Compliance Generalist will also collaborate with the entire HR Team ensuring timely and efficient resolution of employee inquiries sent to the shared HR inbox.
Job Description
Review all field division positions for compliance.
- Complete Independent Contractor and Overtime Exempt compliance procedures as requested.
- Conduct risk analyses, audits, and assessments to evaluate the effectiveness of these programs and policies and recommend updates as necessary.
- Regularly review and update compliance initiatives to stay current with changes in laws and regulations.
- Track and report on compliance metrics to HR leadership.
Pre-Employment Screening:
- Evaluate background check and drug screening reports to ensure compliance with company policies, client matrices, and legal requirements.
- Conduct Individualized Assessments with candidates and communicate employment decisions, detailing the process if adverse action is taken.
- Communicate screening outcomes to relevant stakeholders and updating the appropriate qualifications in ATS/HRIS.
Workers' Compensation:
- Act as a point of contact for employees and management regarding workers' compensation claims.
- Assist in filing workers' compensation claims, ensuring all required documentation is collected and submitted.
- Liaise with insurance providers, medical professionals, and other stakeholders to facilitate claim processing and resolution.
- Keep track of workers' compensation cases, providing updates to relevant parties and ensuring compliance with legal requirements.
Verifications of Employment:
- Conduct verifications of employment for current and former employees as requested by internal and external parties.
- Verify employment details, such as dates of employment, job titles, and salary history.
- Respond to verification requests promptly and accurately, maintaining confidentiality and adhering to data protection regulations.
Additional HR Functions
- Act as backup for all HR functions when team members are out.
- Partners with HR Associate on Unemployment Insurance claims. Attends hearings as required.
- Manage WOTC documentation requests via Portal.
- Compile reporting as required per department needs.
- Update training and separation documentation through ATS/HRIS weekly.
- Assist in the management of the shared HR Support inbox, responding to employee inquiries and requests in a timely and professional manner. Provide accurate information, guidance, and resolutions to employee queries related to HR policies, benefits, and procedures.
- Escalate complex or sensitive matters to the appropriate HR team members and follow up to ensure resolution.
- Keep up with changes in employment laws, regulations, and industry trends that could impact HR compliance and proactively inform HR leadership and management of potential changes and implications.
Background We are Seeking
- Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
- Proven experience in HR roles with a focus on compliance, workers' compensation and verifications.
- In-depth knowledge of employment laws, regulations, and industry standards, including but not limited to EEO, ADA, FMLA, FLSA, and OSHA.
- Strong analytical skills with the ability to assess risks and develop effective compliance strategies.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with various stakeholders.
- Experience in conducting audits, investigations, and preparing compliance reports.
- Ability to work independently, make decisions, and collaborate effectively with cross-functional teams.
- Detail-oriented and highly organized with the ability to handle confidential and sensitive information with discretion.
- Exceptional organizational skills and the ability to manage multiple tasks and prioritize effectively.
- Proficient in HRIS (Human Resources Information System), and other relevant software applications.
- A team player with a collaborative mindset, capable of working effectively in a fast-paced environment.
Preferred Education and Experience
- Professional certification in HR or Compliance (e.g. SHRM, HRCI, etc.).
- Knowledge of immigration law.
