Primary function of a Benefits Coordinator:  Assists employees with benefits enrollment and questions regarding Medical, Dental, Vision, STD, LTD, Voluntary Life, Dependent Life and the 401K plan. Review and understand SPD's related to the benefit plans.  Oversee the benefit eligibility process to ensure employees are provided with information needed to enroll in a timely manner. Maintain proper recordkeeping of all personnel files and provide accurate data entry when processing any HR/Benefit related task. Serves as a point of contact for employees to address benefit related questions. Manages FMLA/Parental Leave/Medical leave of absence.  Provides administrative support to the team as needed.

 Typical duties include but are not limited to:

  • Handle or direct incoming calls and concerns about Employee Services (benefits, personnel, training). Work with employees to resolve benefit issues.
  • Monitor the Employee Services email for all benefit related questions and concerns and be able to respond with accurate information in a timely manner.
  • Process all correspondents, such as child support notices, disability claims and other benefit related forms.
  • Process qualifying life event status changes that include but not limited to marriage, divorce, birth, etc.  in compliance with HIPPA.
  • Manage, coordinate and administer FMLA and Medical leaves of absence, ensuring compliance with all regulatory requirements.
  • Process weekly reports, which include a term report, new hire eligibility report and 401K census report.
  • Weekly 401K Process:
    • Enter weekly contribution election changes from weekly deferral report.
    • Enter new 401K loans into Coins OA.
    • Review delinquent loan report monthly and take action needed to assist employees with correcting the delinquent loan status.
    • Review messages and notices in the 401K admin site to determine the action needed to complete the task and clear the message in the system.
  • Audit and process benefits Invoices monthly.
  • Participates on vendor calls.
  • Scan, index, and verify in DocuWare
  • Supports the Employee Services Coordinators as needed.

Skills, Knowledge, Qualifications, & Experience:

  • Minimum 2 years of direct Benefits Coordinator experience preferred
  • Intermediate Computer Skills (Word, Outlook, Excel)
  • Excellent written and verbal communication
  • Ability to multi-task and work under tight time constraints as a team and individual
  • Excellent organizational skills, accuracy and attention to detail
  • Ability to communicate in both written and verbal Spanish preferred
