Salary: $55,000 - $65,000 per year

HR and Compliance Manager

Global Care Optometry operates over 60 offices of optometry in 9 states, with additional locations opening this year.  Our dynamic and fast-growing company is looking for an HR and Compliance Manager to lead our human capital management and oversee our HIPAA compliance program.  We work with outside consultants in the design and implementation of our HIPAA program. Previous HIPAA knowledge is preferred but not required.

 

This position will be instrumental in maintaining a culture based on teamwork and open communication.

  • Proven experience as an HR Manager.
  • In-depth knowledge of labor law and HR best practices.
  • Experience managing HIPAA policies and procedures is preferred but not required.
  • Knowledge of employment agreements and other human capital contracts is preferred but not required.
  • Bachelor's degree or demonstrated equivalent experience.

 

Responsibilities include but not limited to:

HR and Compliance Manager will play an integral part of the entire company’s success by:

  • Nurturing a positive working environment.
  • Partner with department supervisors to manage the recruitment and selection process by posting job ads for all departments, sourcing candidates, conducting phone screens, and scheduling in-person interviews.
  • Responsible for onboarding newly hired employees, including but not limited to offer letters, contracts, employee handbook overview, employment verification, employment documents, and benefits enrollment. 
  • Responsible for off-boarding documentation, exit interviews, and collections of company property.
  • Responsible for reviewing, editing, and drafting current HR policies, company handbook, company policies, job descriptions and postings, standard operating procedures, and other human capital-related documents.
  • Developing and overseeing employee training programs and employee career development.
  • Assist in planning and scheduling lunch and learns, quarterly company outings, leadership and development seminars, and team-building events and exercises.
  • Assist in celebrating and planning employee birthdays, anniversaries, employee of the quarter, and office festivities.
  • Assist with organizing and scheduling philanthropic efforts.
  • Stay up to date on regulatory changes, new regulations, and internal workplace policy changes.
  • Communicating internal procedures, policy changes, reminders, and company memos.
  • Assist department supervisors in the creation and measurement of KPIs.
    • Review KPIs to ensure they are specific, measurable, attainable, realistic and time bound.
    • Ensure all KPIs are calculated, and bonuses are processed by the assigned deadlines.
  • Oversee and conduct employee performance evaluations with department supervisors. This includes 90-day performance and annual reviews. Ensure all reviews are completed by the assigned deadlines.
  • Assisting department supervisors with drafting and delivering verbal warnings, written warnings, performance improvement plans, and termination notices.
  • Provide support and guidance to management on sensitive issues including but not limited to providing reasonable accommodations and conflict resolution.
  • Conducts confidential HR investigations.
  • Oversee organization’s HIPAA compliance program ongoing development, implementation, and maintenance. Work with current outside vendor to ensure program is updated as needed and properly documented.
  • Create and maintain complete and confidential files of each employee. Process, verify and maintain documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations and classifications.
  • Assist with company benefit administration to include enrollment forms, plan questions, claims resolution, and open enrollment.
  • Act as a resource to management and staff on benefit related questions and issues.
  • Responsible for processing bi-weekly payroll and managing employee time-punch inconsistencies and errors.
