POSITION SUMMARY:
The Hospitalist Coordinator manages multiple tasks, plans and coordinates hospitalist activities. This role proactively handles situations that arise with the Hospitalist group. Must display professionalism and gain organizational awareness to help prioritize and maintain physician schedules and meetings. This position works to develop processes to assure proper coordination of the hospitalist program to include scheduling, meetings, and quality metric reporting. The coordinator will provide support to all hospitalists and the Medical director in order to coordinate the hospitalist's services.
POSITION EDUCATION/QUALIFICATIONS:
  • High School/GED required.
  • Bachelor's degree preferred
  • Good written and verbal communication skills required.
  • Some evening or weekend work will be required
  • Bilingual - English/Spanish.

JOB KNOWLEDGE/EXPERIENCE:
  • Five (5) year of administrative experience with physicians preferred.
  • Proficient in MS Word, Excel, and PowerPoint
  • Strong analytical skills
  • Knowledge of Medical Terminology
  • Knowledge of all state and Federal regulations
  • Knowledge of State, Federal, and TJC regulations.
  • Proficient knowledge of Inpatient Medical Professional Billing required

RESPONSIBILITES:
  • Promotes the facility mission, vision and values by effectively communicating them to others. Considers mission, vision and values in developing services, standards and practices.
  • Serve as the point of contact between all Hospitalists Physicians and the hospital, and the as it relates to administrative functions (team scheduling, meetings, paperwork, calendar, etc).
  • Assist in creating and posting the hospitalist schedule. Makes modifications and notifies hospital departments of those changes.
  • Consistently role model the highest level of customer service to all customers
  • Provide on-site coordination and facilitation for credentialing and privileging of the hospitalists and assure on-boarding is complete.
  • Follow-up with our Hospital client staff office to make sure the physicians have pagers, keys, and badges before work, the EMR training and billing system orientation has been completed and that the pager number is available to the hospital units.
  • Support the Chief Hospitalist in scheduling meetings and ensuring attendance for hospital. This includes team meetings, hospital committee meetings, and any other form of meeting. Room reservation and food service should be provided as appropriate. Also, keep meeting minutes at team functions.
  • Work with the personnel at our Hospital clients to track committee membership and attendance record for team physicians on various assigned committees.
  • Support Medical Director, Chief Hospitalist and hospital recruiter in scheduling physician interviews and related logistics.
  • Assists in the coordination of all hospitalists to include contracted hospitalists groups. Assures that communication to all hospitalists is present to ensure compliance with required processes and policies.
  • Assist Coding department when medical records need to be pulled for verification.
  • Keep an updated contact list of the hospitalists, and forward appropriate correspondence.
  • Order office supplies through the system. This includes general supplies, business cards, toner cartridges, and various other items.
  • Forward billing queries, deficient records notices, death certificates requiring signature, and other medical records information to the appropriate physician to facilitate their completion.
  • Assures that Quality metrics are reviewed and assists with ensuring PQRS compliance by the hospitalists.
  • Maintains physician's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Maintains and tracks physician CME. Also tracks CME expenditures to physicians maintaining within the budgetary goals.
  • Creates and/or gathers data reports on LOS, Case Mix Adjusted LOS, Mortality, Never Events and all data on Hospitalist dashboard.
  • Works with primary care physician offices to continuously assure that they are being advised of patient admissions and that they are receiving discharge summaries as applicable.
  • Complex data reporting and management using macros, formulas, and pivot tables.
  • Conserves physician's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Detailed knowledge of company operations, organizational procedures, and personnel.
  • Performs well under pressure. Tactfully handles difficult situations with professionalism.
  • Communicates discharge and HP information to appropriate PCPs.
  • Set-up and coordinate meetings, conferences and in-services.
  • Works with Medical staff and the Renaissance Medical Foundation staff for credentialing, certification and upkeep with malpractice insurance.
  • Has knowledge of dealing with death certificates, prescription refills, communication with home health and DME agencies.
  • Proficient knowledge of Inpatient Medical Professional Billing
  • Assumes other duties as assigned
