Position Summary:

Join the American Physical Society (APS) as the Honors Program Coordinator! In this role, you will provide administrative support for and the Honors Program Manager. This role includes supporting APS staff-administered recognition and funding programs, assisting unit executive committees with policy compliance, and tracking all unit honor activities and travel funding. Responsibilities:


  • Provide primary administrative support with scheduling, communication, and meeting preparation to Honors Program Manager for Committee on Fellowship, Committee on Prizes & Awards, and Historic Sites Committee.
  • Respond to inquiries within the Honors service desk, taking primary responsibility for the efficient resolution of requests or redirection to the appropriate resources.
  • Support unit officers in maintaining updated unit-level award and travel grant information, application, and selection processes and assist with travel grant reimbursements, funding health tracking, and funding disbursement policy compliance as required.
  • Provide support to APS staff to maintain unit recognition programs and funding health tracking, and application processes, and assist with funding disbursement policy compliance as required.
  • Provide regular reporting on fund disbursement for staff-administered recognition and funding programs to Honors Program Manager, Director of Membership, and relevant staff stakeholders.
  • Print and ship unit award and travel grant certificates and relevant materials.
  • Responsible for information gathering and documentation of the current process and procedures of all unit awards and travel grants as well as staff-administered recognition and funding programs.
  • Support the migration and ongoing maintenance of existing unit honors, travel grants, and other recognition applications to OpenWater platform, and/or new applications as needed.


Education:

  • High School Diploma or Equivalent required.
  • BS/BA degree or equivalent work experience required.
  • In lieu of a degree, 4 years of relevant experience may be accepted.


Experience, Knowledge, Skills, and Abilities:

  • Minimum of 2 years of related work experience.
  • Familiarity with SaaS relational databases preferred (Salesforce and Nimble a plus).
  • Proficiency with Google Docs, Google Sheets, Google Drive, Adobe, and other online shared document products.
  • Proficiency with all Microsoft Office Suite products, in particular Microsoft Word, Excel and PowerPoint.
  • Strong multitasking skills and ability to work on multiple deadlines and competing priorities while following through in a timely manner.
  • Strong organization, documentation, and prioritization skills.
  • Strong written and verbal communication skills.
  • Excellent attention to detail.
  • Ability to adapt to quickly changing schedules.
  • Ability to work well independently as well as with interdepartmental teams.
  • Maintain a high level of professionalism and confidentiality at all times.
  • Possess a growth mindset and strong interpersonal skills.


Travel: The position does not require travel but includes opportunities to attend in-person meetings as well as additional travel as assigned.

Salary:
The salary range for this role considers the factors that are considered in making compensation decisions, including but not limited to skill sets, experience and training, and other business and organizational needs. APS's Compensation Philosophy is to manage salaries at the midpoint of the market. Therefore, it is the practice to hire within the entry - midpoint range.

Full Range: $47,086k/year - $70,628k/year (USD)

Target Range: $47,086k/year - $58,857k/year (USD)

Work Environment:
Our physical offices are located in College Park, MD, Washington D.C and Hauppauge, N.Y. We are operational in most US states. We are not operational in all 50 states. The APS has a "remote first" concept that promotes equal treatment and equal access within the United States, independent of physical work location, with a majority of staff working primarily from remote work locations. APS allows flexible work hours; responsiveness is required, however, during the core 9 am to 5pm Eastern Standard Time workday.
