Description
The position reports to the Associate Director of the Honors College. The Student Assistant is based NYC, but the position serves both campuses. The Honors College serves as the academic and administrative home for over 1,000 of the top students at Pace University.
Student Aide Tasks
- Greet and assist incoming visitors at the front desk, including reading and directing staff-student appointments.
- Answer a wide variety of questions related to the college's procedures and other general questions.
- General clerical duties such as filing, photocopying, shredding, scanning, and other duties as assigned.
- Assist with emails and phone calls, taking detailed messages for staff follow-up or directing them to the appropriate personnel.
- Data Entry - Inputting data into CRM Advise, Excel spreadsheets, Microsoft Teams, and Microsoft Forms.
- Maintaining clear and detailed records for activities such as tickets for Honors events.
- Accepting packages and mail and tracking the items ordered while updating inventory.
- Occasional errands on and off campus
- Maintaining confidentiality and professionalism while interacting with staff, faculty, students, and families.
- Maintaining office inventory
- Responsible for the maintenance of the Honors Offices and Honors Lounge; including opening and closing, ordering supplies, and light cleaning.
- Responsible for updating the Honors bulletin boards, seasonal lounge decorations, and the calendars in the Honors Lounge and Office.
- Contact maintenance, ITS and security via facilities/helpdesk tickets for concerns pertaining to the Honors Office and Lounge.
- Help plan, prepare, set up, work, and clean up Honors traditional events such as the Honors Award Ceremony, Harry Potter Movie Night, Pace Giving, Mentoring Events and Honors Welcome Week.
- Providing feedback and perspective as a current Honors College student.
- Prepare materials for Admissions events (i.e PaceBound and Special Interest Tours) and Orientations and speak with families and students for those events.
- Responsible for assisting with thesis preparation for the Pforzheimer Honors College Conference (Thesis/Research Presentations) each semester.
- Assist Honors Advisory Board members with events, which includes set up and clean up
- Create and design flyers and graphics using Canva.
- Participate in occasional staff development meetings.
- Attend occasional training and know Pace resources.
- Perform other duties and responsibilities as assigned.
Requirements
- Must be a current undergraduate Honors College student in good standing with the Honors College (i.e. GPA, Honors Courses, Thesis).
- Must be able to work for the Honors College year-round, including during the summer and winter breaks.
- Proficient in Microsoft Word, PowerPoint, Excel, Forms and Teams.
- Strong customer service and organizational skills.
- Comfortable with Public Speaking.
- Adept to learning new technology.
- Must be able to handle confidential information in a discreet manner.
- Strong written and verbal communication skills.
- Reliable and patient with a variety of visitors (i.e. staff, faculty, students, families)
- Honors leadership experience preferred [i.e. Honors Advisory Board, Mentoring, PaceBound host].
- Office experience a plus.
- Ability to work both independently and collaboratively on a team.
- Student is personable and outgoing in both intimate and large-group settings, both in person as well as through virtual communications such as Zoom.
- Student has a positive outlook on the Honors College and Pace University.
- Able to function in a fast-paced environment, multitask when needed and complete tasks to meet deadlines.
