Homeowners Association (HOA) Assistant Manager – Scope of Services

General Purpose: Assist the HOA Managers by providing service through various management duties.
Supervisory Responsibilities: None
Essential Duties / Responsibilities include:
- Customer service via telephone, email, software, and in person contact
- Work independently and within multiple teams
- Dispatch approved work orders and ensure completion
- Compose and proofread a variety of routine and non-routine documents including general correspondence, agendas, board meeting minutes, reports, newsletters and memoranda
- Maintain a calendar of office activities, meetings, and various events
- Schedule meetings and arrange for room set up; arrange for necessary materials to be available at meetings
- Participate and assist in the administration of the office, recommend procedural changes affecting office function as applicable
- Prepare for and attend client meetings, held monthly, quarterly, semiannually, or annually
- Read and understand Governing Documents (Covenants, Guidelines, Bylaws, etc.)
- Attend and participate in staff meetings and related activities
- Attend workshops, conferences, and classes to increase knowledge
- Perform a variety of general clerical duties including maintaining and filing records, verifying accuracy of the information, and recording information
- Operate modern office hardware and software; routine use of office software applications, PCs, printers, and industry-specific software
- Communicate clearly and effectively with internal and external contacts
- Adhere to safe work practices and procedures.
Required Knowledge, Skill, and Ability:
- Excellent and instinctual knowledge of English word usage, spelling, grammar, vocabulary, and punctuation
- Knowledge of standard office procedures, methods, and equipment
- Knowledge of basic mathematical principles
- Skill to operate modern office equipment
- Skill to type and enter data at a speed necessary for successful job performance (minimum 45 WPM)
- Ability to learn the procedures and functions of the assigned position
- Ability to plan and organize work to meet schedules and timelines
- Excellent time management, including consistent punctuality
- Ability to understand and follow oral and written instructions
- Ability to communicate clearly and concisely, both orally and in writing
- Ability to establish, maintain and foster positive and harmonious working relationships with others in the course of work
- Ability to maintain confidentiality
- Ability to work with a variety of different personalities
Education and Experience:
- Equivalent to a high school education, experience in an office setting, or one to two years of related experience. A diploma from an accredited college or university is a plus.
- Knowledge of metropolitan districts, homeowners associations, board meetings, real estate, and bookkeeping is a plus.
Licenses, Certificates, or Registrations:
- Valid Colorado Driver’s License
- Reliable transportation
Working Environment/Physical Activities
- Sit at a desk up to 9 hours a day
- Work a computer keyboard up to 9 hours a day
- Workday is varied with a standard day of 9 hours and every other Friday off
- May require attendance at several evening meetings per month
- Ability to lift up to 25 lbs
Job Type: Full-time
Pay: $18.00 - $18.50 per hour
Expected hours: No more than 43 per week
