Job description

Under the general direction of the Deputy City Secretary, the Historical Records Archivist plans, organizes, and coordinates the storage and maintenance of the City's Historical Records program promoting the development, implementation, and maintenance of the digital archive Project HOLD (Historic Online Library Database); provides administrative support to the City Secretary's office; provides training to volunteers regarding the archives records management, policies, procedures, and compliance; and provides public access to records and record retrieval service.

  1. Responsible for the maintenance, management and update of Project HOLD which includes receiving, scanning, documenting, and organizing items/documents in the Laserfiche document management system; document retrieval; and maintaining the upkeep of the Project Hold website ensuring site information and calendar information are up to date.
  2. May plan, coordinate, or assist with historical-related projects, to include coordinating and training volunteers and interns when necessary.
  3. Recruit individuals for historical interviews. Record and transcribe interviews for publication in Project HOLD.
  4. Receive Historic Marker applications and provide monthly reports to the Historic Preservation Committee.
  5. Perform routine clerical duties within the City Secretary's office and assist at City Council Meetings as required.
  6. Perform other related duties as assigned.

Required:

Associate degree with a focus in History, Library Sciences, Communication, Government, or related field; or the equivalent combination of education and experience. Possess intermediate level computer skills in the use of Microsoft Word and Windows applications. Ability to operate a variety of office equipment related to digital archival. Including scanners, software, digital photography, and audio recorders. Possess strong written and oral communication skills. Possess strong inter-personal and organizational skills. Ability to exercise discretion based on knowledge of administrative and municipal policies and procedures. Ability to work with limited supervision

Preferred:

Experience working in the field of archival or historic preservation. Prior experience working with volunteers.
