Job Description
REPORTING RELATIONSHIPS/SUPERVISORY RESPONSIBILITIES
The Record Management Technician reports to the Manager, HIM and has no direct reports.
POSITION SUMMARY
The HIM Record Management Technician has an in-depth knowledge of form creation, record retention and destruction. Responsible for retrieving and maintaining inventories of records sent to the approved storage vendor. Works in conjunction with other departments, physician offices and hospitals as the liaison between HIM and other departments in the organization for forms management, record retention and destruction needs. Responsible for reviewing and validating electronic health information retention and ensuring application rules are applied appropriately prior to destruction. Assist with medical record form creation and documentation needs for the legal medical record. Promotes positive customer relations through prompt and courteous service in this fast-paced, high volume and customer focused environment. Requires travel to locations throughout the ProMedica system to ensure record management workflows are met. Position is Hybrid eligible after training and maintaining productivity standards - must be within 100 miles of Toledo.
ACCOUNTABILITIES

- Ensures record retrieval and storage processes are handled properly, coordinating with off-site storage locations and storage vendors; effectively coordinates access to records located in various areas within the organization in support of operations. Interacts with multiple levels, departments, and external individuals.
- Prepare scanned documents and other department records for off-site storage (Iron Mountain) ensuring that boxes are correctly labeled according to policy and procedure. Maintains record storage areas so the folders and/or boxes are neat, orderly, and accessible.
- Serve as electronic records management lead to determine the lifecycle of internal electronic records and data assets. Assists workforce with questions, supplies information, and provides direction on electronic record destruction readiness according to the internal Records Management Policy and the Corporate Records Retention Schedule.
- Conduct working sessions with internal technical and business electronic records asset owners to identify retention gaps and destruction readiness.
- Meets compliance requirements by complying with all federal, state, and local law, rules, and regulations, as well as policies and procedures for record retention by applying understanding of such law.
- Organizes and maintains all record storage databases. Serves as the liaison for all authorized users associated with record retrieval and storage.
- Understand current forms workflows, evaluate continued use of existing forms. Prepare crosswalk for existing forms and how they align with new forms and documents workflows that will be utilized.
- Create new forms and perform updates and revisions to existing forms in a timely manner; Design form in Word format to facilitate processing in the form's publisher. Process and publish form in forms repository. Maintain quality control to ensure product published meets standards.
- Research forms to further understand the request, in order to be able to provide information or insights regarding the form to the committee. Communicate with customers and track the progress of forms that require additional review by the committee.

Job Requirements
REQUIRED QUALIFICATIONS
Education: Associate degree in a healthcare related field or equivalent combination of education, training, and experience.
Skills: Troubleshooting and documenting skills; Able to learn in a self-directed, fast paced, rapidly changing environment; Efficient in Microsoft Office products such as Outlook, Word, Excel, and PowerPoint. Excellent communication (oral and written) & organizational skills, required. Ability to plan, coordinate and organize multiple priorities.
Years of Experience: 2 years' experience in health information management, physician office, clinical or hospital business office, comparable experience, or applicable college education.

PREFERRED QUALIFICATIONS
Education: Degree in CAHIIM (Commission on Accreditation for Health Informatics and Information Management) approved program.
Skills: Document scanning and electronic medical record experience

ADDITIONAL QUALIFICATIONS
Access to a reliable and secure high-speed internet connection, with access to a home router and modem. A dedicated home office space that is noise- and distraction-free. The space should have strong wireless connection or a wired Ethernet connection.

Physical Demands: Must be able to move about facilities between workstations and occasional travel between department satellite locations. Must be able to occasionally move, lift, push and/or carry medium weight objects and materials weighing 30 lbs.
