Hele On Operations Manager

Department: Hawai’i Island Hele-On Bus Division
Reports to: Hawai’i Island
Status: Exempt
 

1. Job Purpose/Objective:

Salary starting at $80,000

The purpose of this position is to provide support, direction, development and supervision to the employees of the Hele On Bus Division of Roberts Hawaii Island Operations.  The Incumbent must ensure that all aspects of the contractual obligation are fulfilled.  The Operations Manager is responsible for ensuring the delivery of a high standard of customer service and safety practices, while continuously improving the efficiency of the operation.

2. Essential Job Functions:

  • Direct and coordinate the daily activities of business for the Hele On division, including but not limited to, directing activities related to dispatching, routing, and tracking the Unit's transportation vehicles and its drivers.
  • Plan, organize and manage the work of subordinate staff to ensure that the work is accomplished in a manner consistent with organizational requirements, policies, regulations, and contractual obligations/as prescribed by applicable contract.
  • Provides leadership, direction, coaching and discipline to staff, including drivers, dispatchers, supervisors, and leads.

  • Oversees training and development of staff. Follow up with performance reviews and set up refresher training when needed. Reviews training methods to update materials and information for staff. Schedules training for drivers (DDC, CPR, FA classes) as requested by the Training Department. 
  • Assigns team members to their duties and responsibilities, inspecting performance throughout the work process to ensure compliance with all company and state policies, procedures and safety requirements
  • Monitor operations to ensure staff compliance with administrative policies and procedures, safety regulations (e.g. DOT, OSHA/HIOSH) and rules, and applicable government (e.g. DOT) regulations.
  • Promote safe work activities by conducting safety audits, attending mandatory company safety training or meetings, and train/monitor staff to ensure safe practices to include safe use of equipment, and facilities.
  • Conduct investigations in cooperation with applicable company or government authority to determine causes of transportation accidents and to improve safety procedures.
  • Takes inventory and ensures the work area is always adequately stocked with all needed supplies for the operational needs of the division.
  • Manage inquiries to resolve customer and constituent complaints and concerns efficiently ensuring timely follow up.
  • Establish and implement departmental policies, goals, objectives, and procedures and keeps team accountable. Provides resources and support and uses checkpoints and data to track progress and measure results.
  • Make recommendations to the leadership team regarding ideas to enhance company product offerings, client requests and maintain revenue projections.
  • May participate in the negotiation of contracts with equipment, materials, supplies, and monitor contract fulfillment.
  • Oversees processing of payroll to ensure accurate timecards are submitted to the Payroll Department in a timely manner.
  • Supervise workers assigned to prepare billings and audit practices and workflows to ensure accuracy and timeliness in the issuing of invoices. Ensure accurate and timely billings.
  • Ensures Maintenance is informed of any necessary / urgent repairs and/or discrepancies on vehicles. Assists with the maintenance of fleet statistics. Accompanies Mechanic on trouble calls if necessary.
  • Performs other related duties as assigned or requested

3.  Essential Skills (Minimum qualifications individual must possess when entering position) – i.e. skillsets, education, certifications, etc.:

    • Bachelor’s degree in Business; or equivalent work experience and education.
    • 3-5 years of experience in tours and transportation industry, or similar industry
    • Valid Driver’s License and ability to obtain a commercial driver license (CDL) within 1 year
    • Ability to work a flexible schedule – weekends, evenings, holidays. On Call 24/7
    • Ability to travel to various locations, attend all meetings and conferences.
    • Able to build a strong culture and integrating teams to work together to achieve results
    • Ability to manage multiple projects simultaneously under tight deadlines
    • Ability to evaluate and change priorities daily and perform efficiently within a fast-paced team environment
    • Must have a positive attitude and takes initiative with a strong desire to learn
    • Must have a track record of success in managing a team, selecting A players and retaining talent
    • Keeps information organized and accessible, works systematically/efficiently, manages time well, promotes mutual respect, keeps workplace clean and safe, supports safety programs

    • Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel, Publisher)
