Role Description: Hearing Center Receptionist provides general reception services and supports device processing. This role includes assisting audiology/Hearing Center team in whatever way is necessary to ensure Dallas Ear Institute continues to provide the highest level of support possible to our patients.
Hours: Monday-Thursday: 8:30AM to 4:30 PM, Friday 8:30AM to 1:30PM
Location: Dallas
Primary Responsibilities:
Complete check-out processes for patients following office visits
o Scheduling of follow-up appointments for physicians and audiologists as requested
o Collection of office visit fees, outstanding balances, and co-pays
o Enter/Record all payments
o Transfer billing sheets to Hearing Center Administrator
o Transfer cash/checks to Administrator
Scheduling/check-in assistance
o Responds to rollover incoming calls within three rings
o Assist patients with check-in/out and scheduling
o Provide instructions for scheduling and commitment forms as needed prior to scheduling
o Ensure all patient demographics, current insurance information, and required medical records obtained prior to initial visit/at the time of scheduling, and confirm for all subsequent visits
o Inform patients if referral is required prior to appointment, follow outlined office protocols for referrals
o Works with insurance team to stay up to date regarding accepted plans and individual plan requirements
o Monitor Hearing Center emails and faxes
Process incoming shipments
o Verify correct equipment received
o Import manufacturer invoices into Sycle
o Input device/accessory data into Sycle inventory
o Distribute device repairs to audiologist/extern for programming. Call patient to pick up accessories/ALDs when indicated by audiologist
o Charge ALDs/rechargeable hearing aids
Prepare fitting kits prior to fitting appointments
o Include cleaning tools/accessories/batteries or charger/cheese sheet
o Pull Purchase Agreement and add serial number and warranty information
· Assist with walk-in patient needs
o Evaluation/listening check of hearing aids and equipment
o Cleaning of hearing aids/tubing changes
o Complete visit records/outcome note, repair forms and billing sheet for each appointment as needed
Assist with completion and processing of outgoing reports/documents
o Complete Letters of Medical Necessity (LMNs) needed for equipment/processor upgrades and provide to physicians for signature
o Hearing aid evaluation, PCP letters and pediatric forms
o Scan completed forms into EMR
Manage cabinet inventory (new hearing aids, replacements, earmold, accessories, BC systems, repairs)
o Review Sycle Call List: Repair Pickup
o Contact patients to schedule or to pick-up equipment (documents activity in chart)
General office support
o Faxing/scanning of records and processing documents for providers
o Incoming records requests
o Send out test/visit records as needed/requested
o Maintain clean appearance in waiting room throughout the day
o Shipping/Processing of devices/materials as needed
o Inbound call support
Shared/Backup Responsibilities:
Verify all necessary equipment (HAs, ALD, FM, EMs, etc.) received 2 days prior to patient appointments
Processes outgoing hearing aid/device orders
o Input order forms/purchase agreements into Sycle
o Place orders with manufacturers
o Confirm orders were received
o Prepare outgoing shipments
