Job description

JOB SUMMARY
Responsible for receptionist, clerical and secretarial duties. Maintains patients' records and chart activities. Functions as focal communication source at the nursing station. Performs data entry and inputs patient charges into the computer. Performs duties according to the Scope of Service for the Emergency Department. Adheres to and practices the St. John's Health Corporate Compliance Program and participates in Performance Improvement activities.
ESSENTIAL FUNCTIONS
Receptionist Activities
• Receives, greets and directs patients, visitors and hospital personnel arriving in the unit in a courteous, professional manner.
• Acts as focus of communication in nurses' station regarding all patient care activities, patient location. Able to provide information and direction. Acts as resource for non-clinical information.
• Receives requests from patients and families and refers requests to nursing staff.
• Handles communication during emergency situations, stat requests and orders effectively. Activates Trauma Responsible per policy.
Clerical/Secretarial Activities
• Initiates, assembles and maintains records for all patients. Places stickers and organizes patient records. Flags charts as appropriate for review and orders. Assembles OR and procedural sedation packets.
• Dismantles record upon discharge. Assures all pages are labeled correctly and filed appropriately. Sorts and recycles ED charts.
• Accurately transcribes physician's orders and enters them into Cerner. Times and communicates to nursing staff that orders have been taken off.
• Retrieves and files Radiology and Lab reports. Hands off diagnostic reports to MDs and/or RNs for review and follow-up. Retrieves patient charts as needed from HIM or ED files.
• Answers phone in a professional and courteous manner. Channels calls as required. Records and delivers messages for patients/staff.
• Completes daily inventory of supplies and orders as needed. Maintains adequate quantity of forms and supplies in ED. Orders remote stock and dietary supplies.
• Maintains a clean, safe and functional working environment in nursing station area.
• Enters the ED charges and logs database into computer in a timely manner.
• Completes and compares the statistical report, checks against the chart and corrects any errors found.
• Maintains ED call board on a daily basis.
• Maintains chart in appropriate functional order as prescribed by hospital policy.
• Fills out admissions slip and turns into registration in a timely manner. Calls specific department to obtain bed number and nurse assignment when patients are admitted.
• Receives Lab reports and makes appropriate person aware of results. Prints out daily radiology report for ED physician.
• Reviews chart for appropriate charges in Pyxis and checks against patient chart for accuracy.
• Maintains proper functioning of office equipment. Notifies appropriate personnel for repair.
Other Clerical Activities
• Acts as liaison between ED patient registration, hospital departments and ED staff.
• Discharges all patients not admitted to hospital in Cerner in real discharge time.
• Assists front desk in obtaining patient admission information as needed.
• Assists the Director of Emergency Services with special projects and secretarial support as needed.
• Contacts translators as needed. Aware of current translator list. Able to use services provided by Language Line Solutions via iPads.
• Implements Divert Policy when directed.
• Assists in setting up Air Ambulance response when directed by ED Physician.
• Contacts physicians and other facilities to obtain medical records when needed to augment patient care and as requested by ED physician.
• Assists ED staff with stocking of linens, cleaning stretchers and rooms.
• Picks up physician mail in MD lounge and separate as appropriate.
• Float to other departments to assist as needed.
JOB REQUIREMENTS
Work Experience
Required: Good communication, interpersonal and customer service skills. Ability to speak English clearly and be understood. Ability to read and write English clearly and comprehend medical terminology. Must possess excellent phone etiquette and phone customer service skills, legible handwriting. Ability to multi-task. Basic computer skills. Ability to stay calm in stressful situations.
Preferred: Previous medical office clerical or reception experience, knowledge of medical terminology.
WORKING CONDITIONS:
The hospital Emergency Department. At times is fast paced and noisy. Stressful situations. Frequent interruptions. Weekend and evening shifts may be required. Must be on-site at the St. John's Health campus or other facilities to fulfill the responsibilities of this role.
PHYSICAL REQUIREMENTS: 80% of shift sitting at desk answering phone and computer use. Intermittent standing and walking. Ability to bend, reach, push, pull and lift 15 pounds.
