Description

I) Job Purpose 

Under the direction of the HCC Program Manager this position provides operational, administrative, and technical support to the Healthy Community Collaborative programs Specific duties include, but are not limited to: administrative assistance to staff and managers; filing of client record, distributing and mailing out letters and program correspondence, completing environmental and infection control reports, serving as member of the Safety Response Team (SRT) member and completing data entry, quarterly reports and special assignments. This position may have secondary duties of ordering and purchasing office supplies and equipment, overseeing special financial resources such as petty cash and bus passes.

Essential Functions
A. Provides administrative and business support services to the Healthy Community Collaborative program.

Performance Standards
1. Provide support to program's staff by managing and organizing workflow in a way that facilitates and promotes the achievement of positive outcomes.
2. Provides administrative support as needed and directed to Director of Continuity of Care, Program Director of Law Liaison and Program Manager of Assisted Outpatient Treatment.
3. Distributes mail, faxes and routing.

B. Provides office management functions for Healthy Community Collaborative program.

Performance Standards
1. Coordinates the ordering, purchasing, follow-up, and receiving of orders.
2. Arranges for office supplies, client records supplies, central supplies, printer supplies, furniture and desk supplies for staff, and business cards.
3. Manage petty cash and ensures charges are applied correctly to program's reporting unit per accounting policy and procedures. Processes all exchanges of monies and receipts and keeps balance in funds.
 

C. Develops, supports, and performs duties for client record management.

Performance Standards
1. Completes filing in accordance to MHMR procedures and HCC Program Needs and Standards.
2. Folding letters and placing in envelopes in order to send outreach letters provided by HCC program staff.
3. As needed enters client registrations profiles per MHMR standards.
4. As needed schedules appointments in Avatar per MHMR standards.

D. Will serve as a Safety Response Team (SRT) member and will assist with the Environmental Safety and Infection Control support.

Performance Standards:
1. Serve as and perform the duties of the SRT member for the site location.
2. Maintain the All-Hazard Plan Binder and ensure it can be accessible in case of safety need.
3. Monthly complete the Environmental Safety Report and submit to QM, management, and file in All-Hazard Plan Binder
4. Quarterly complete the Inspection Control Report and submit to QM, management, and file in All-Hazard Plan Binder
5. Properly order needed supplies and equipment through proper channels as discovered during inspection and reporting.
6. Oversee that all supplies and equipment are completed, and programs follow agency mandates.
7. Attend Environmental Safety and Infection Control meetings and trainings.
8. Coordinate and conducts the quarterly safety drill and record the outcome in the MHMRTC reporting system.
9. Maintain the PAR employee list and oversees the web-based program for safety notifications.

4. Willingness to work at different program location and take management direction as needed to expedite workflow for the HCC program.

A. This position may require temporarily or permanent re-assignment to any of the MHMR clinics, administrative offices as determined by program's needs.
B. Local travel will be required between MHMRTC facilities, bank and post office as needed.
C. This position may require travel to other locations as determined by the Supervisor(s)

All staff are required to participate in agency Emergency Preparedness and Environmental Safety programs and may be assigned by their departments as a key/essential staff level function during critical events or for the purpose of sustaining business continuity.

This position may require temporary or permanent re-assignment to any MHMR Tarrant facility as determined by program needs and /or the Division/Director.

Assigned work hours may change as the needs of the agency change.

The functional Title of this position may change as the needs of the agency change.

All work will be complete within the scheduled work hours.  All non-exempt (hourly) employee are expected to clock In and out for each work shift, no work done should be done off the clock.

Prior approval from supervisor is required for all Paid Time Off (PTO) and Overtime.

MHMR reserves the tight to change, and to or eliminate a position as it deems appropriate.

Employment is at will, as well as agency needs may change.

Agency dress code is to be followed at all times.

Physical on-site presence, including regular attendance and punctuality is an essential function of this position.  Any change or adjustments to your assigned work schedule or shift hours must be approved by your supervisor in advance.
