Job Description

A Pearl Group Housing and Inventory Specialist reports to the Director of Revenue Management and is responsible for creating leaders and fostering the Pearl culture within the sales and front office department for Pearl Hospitality. A Pearl Group Housing and Inventory Specialist must ignite the human spirit by creating unrivaled hospitality experiences fueled by fun, enthusiasm and compassion that challenge each person to unlock their own potential.

A Group Housing and Inventory Specialist plays a crucial role in managing and optimizing Group Housing arrangements and total inventory within a hotel. This role is responsible for processing and managing all the incoming reservation requests and ensuring that all group room blocks and reservations are accurately inputted alongside ensuring the efficient management of hotel room reservations. This role will act as a liaison between Front Office, Housekeeping, Engineering, and Sales and Revenue teams.

Responsibilities – (not limited to)

· Work alongside the Sales and Front Office teams to deliver prompt and effective service.

· Possess up-to-date information on hotel rates, strategies, discounts, and promotions.

· Maintain a working knowledge of Convention Services, Sales, and Front Office areas

· Understanding credit policy, hotel room types, and all other hotel services and general information.

· Have the capability to explain in detail all reservation guarantee requirements, special rate qualifications, and cancellation policies to individuals for all reservation related inquiries.

· Adhere and apply sales & revenue strategies to optimize revenue when evaluating long term and group reservation inquiries.

· Always maintain an awareness of general hotel availability. Identify any over-commitments and evaluate daily strategies with the Revenue team and keep Front desk team informed on any oversells, challenges, and special accommodations unmet.

· Prepare showrooms for site tours and consistently communicate with the Sales department regarding any additional requirements for the site.

· Perform duplicate reservation checks.

· Prepare and attend weekly Scrub and Resume meetings and follow-up as needed. Review Group Resumes and share pertinent information with the Front Office Team. Attend all pre-convention meetings related to specific group and housing procedures.

· Assist with completing all required sales and revenue management reports.

· Process transient and group related commissions.

· Weekly and monthly group rooms, banquets, and catering actualization.

· Enter and manage group rooming lists into reservation systems and maintain well-organized files for all groups. Ensure the accuracy and completeness of room blocks and reservations. Address any challenges related to accommodating rooming list requests and communicate with appropriate departments.

· Generate and oversee group reservation links, collaborating with the event manager prior to group cut-off dates to guarantee overall guest/customer satisfaction

· Monitor group cut-off dates and release unused blocked rooms in a timely manner.

· Ensure group billing is set up accurately and conduct daily bill reviews with the Conference Service Manager.

· Understand and facilitate the process of overflow rooms with Conference Service Manager.

· Ensure that all Group VIPs, staff rooms, and suites are blocked consistent with the Group Resume.

· Organize and coordinate check-in/pre-registration procedures for arriving groups.

· Review daily and all future arrivals. Assign rooms according to guest request, preferences, VIP status, and assign rooms to maximize rooms revenue daily. Ensure blocking is complete for future days.

· Follow up with guests to ensure their requests or problems have been met to their satisfaction.

· Document any guest situations which require action by another department and follow up as needed.

· Maintain communication with housekeeping department regarding late check outs, early departures, and room extensions.

· Create guest experiences for any special events.

· Review, track, and accommodate requests for room and all reservation changes when possible and communicate status to appropriate departments.

· Review daily no show and cancellation reports and create a detailed revenue report outlining the associated charges.

· Review out-of-order and off-market rooms daily. Verify the status of each room and communicate with Engineering and Housekeeping departments as needed.

· Fulfill all mobile guest services requests, guarantee timely room readiness, and dispatch mobile keys at the guest’s preferred time.

· Verify and adjust billing for long-term guests.

· Represents themselves and the hotel with the highest level of integrity and professionalism, a service focused approach and a caring, sincere attitude always.

· Exhibits a positive and involved team attitude to all hotel departments and maintains open communication with all co-workers for the best overall performance of the hotel.

· Passion and commitment to the business at an ownership level

· Oversee clients to inspire the guest’s loyalty.

· Ensure compliance with brand standards as well as Pearl standards and procedures.

· Maintain effective and open communication.

Physical Requirements - (not limited to)

· Must be able to lift, push, pull, and carry up to 75 lbs.

· Must be able to stand, stoop, bend, crawl, reach above and below shoulders, repetitive arm and wrist use, climb ladders and stairs, and walk on uneven surfaces.

· Must be able to operate motor vehicles using safety precautions.

· Must be able to recognize, register, and respond visually to color and depth perception.

· Must be able to communicate verbally and in writing.

· Must be able to work indoors, outdoors, in extreme heat and cold.

· Must be able to work around moderate noise level.
