- The Event Planner/Admin is responsible for helping with logistics to ensure the successful execution of events at the Galaxy Event Center, Wahooz, Pinz and Roaring Springs. Events include corporate events, summer parties, meetings, galas, holiday parties, grad night parties, family events, and more.
- Event Planner duties: Sales representatives will work with the Event Planner/Admin to communicate with group leaders, identify specific group needs and finalize all details for the successful execution of events.
- Admin duties: Support the sales staff by taking small group reservations, entering groups into the reservation system, calling for deposits, sending confirmation emails, loading wristbands, sending invoices, and all other tasks to support the sales team.
- Develop a positive working relationship with sales representatives, banquets team, operations, and IT departments to ensure the outstanding delivery of Group Events and repeat business.
- Quickly develop a warm, friendly, professional rapport with group leaders, giving them confidence that we are proactively driving the event planning process every step of the way, and being there to “hold their hand” from start to finish.
- Properly enter all information into a BEO (Banquet Event Order) in Caterease (event planning software), as well as updating contracts and other forms accurately. Enter all groups into Connect & Go point-of-sale platform.
- Up-sell to groups whenever possible to maximize group sales revenue.
- Communicate with excellent writing and phone skills, in a timely manner, with group leaders and internal team members.
- Schedule and conduct walk-throughs with group leaders, inviting internal staff as needed, and update all notes from walk-throughs in Caterease immediately.
- Oversee the events day-of as needed to ensure successful execution under the direction of the Banquets Manager.
- Help check-in large groups when they arrive at the Galaxy, Wahooz, or Roaring Springs.
Prerequisites:
Two years event/banquet planning/admin experience preferred
Excellent verbal and written communication skills

Pay: $17.00 - $20.00 per hour
